Full-Time Administration & Reception Assistant — Recent Town

Be the calm, capable person who keeps a busy healthcare organisation moving.

Moreton Group Medical Services is seeking a proactive Administration & Reception Assistant to join our New Town head office on a full-time basis. This is an important front-line role in a fast-paced organisation. You will be welcoming clients, managing competing priorities, supporting the management team, solving problems as they arise, and helping ensure our healthcare, training and transport services run smoothly.

If you enjoy being organised, taking ownership, finding practical solutions and making a genuine difference behind the scenes, we would like to hear from you.

About Moreton Group Medical Services

Moreton Group Medical Services is a Tasmanian-owned, state-wide provider of primary healthcare, non-emergency patient transport, training, assessment and safety solutions. Our team brings together people from varied professional backgrounds, united by a commitment to providing high-quality, responsive services to our community.

The Role

Based at our New Town head office, you will be a key point of contact for clients, staff and suppliers. No two days are the same: you may be responding to enquiries, supporting operational staff, organising records and stock, coordinating facilities or resolving an unexpected issue. You will also participate in our after-hours response phone roster, approximately one week in every four. This involves taking a limited number of calls and arranging urgent non-emergency patient transport bookings when required. Full training and support will be provided.

Key Responsibilities

Your responsibilities will include:

- Managing incoming and outgoing phone and email communications.
- Providing professional, welcoming reception service for clients and visitors.
- Supporting management and operational teams with day-to-day administration.
- Maintaining internal and external documents, records and document control systems.
- Processing point-of-sale transactions.
- Assisting with facility, fleet and vehicle administration.
- Managing stock, ordering and inventory control.
- Making outbound client calls and following up enquiries.
- Supporting projects and administrative needs across multiple areas of the business.
- Participating in the after-hours response phone roster.

About You

You are reliable, practical and naturally organised. You remain calm when things become busy, can quickly work out what needs to happen next, and are comfortable balancing several priorities without losing attention to detail.

You will ideally bring

- Previous experience in administration, reception, customer service or a similar role.
- A friendly, professional and confident phone manner.
- Strong written and verbal communication skills.
- Sound IT skills, including Microsoft Outlook, Word and Excel.

- The ability to work independently while contributing positively to a close-knit team.
- Strong time-management, organisational and problem-solving skills.
- A proactive approach and willingness to help wherever needed.
- Full working rights in Australia.

Experience in healthcare, transport, scheduling or a fast-paced service environment will be well regarded, but is not essential.

What We Offer

- A full-time position with an immediate start available.
- Four weeks annual leave each year.
- One additional week of special leave, to be taken immediately before or after our Christmas shutdown period.
- Competitive remuneration, based on skills and experience.
- Ongoing training and professional development.
- The opportunity to work in a stable, respected and growing Tasmanian organisation.
- A varied role where your contribution directly supports essential community services.

Mandatory Requirements

The successful applicant must be willing to provide:
- A current Tasmanian Working with Vulnerable People Registration.
- A National Police Certificate issued within the past 12 months.
- A current Australian Driver’s Licence.
- Proof of identification.
