About the role
We are seeking an experienced Executive & Administration Assistant to the Founder to join Aria Learning Pty Ltd in Double Bay, NSW. This is a full-time position offering the opportunity to work closely with our Founder in a dynamic and fast-paced environment. As Executive & Administration Assistant, you will be instrumental in ensuring the smooth operation of the executive office, managing complex schedules, coordinating high-level meetings, and providing comprehensive administrative support.
This role is critical to the success of our organisation, as you will be the key point of contact for executive communications and business coordination.
Key responsibilities
- Managing the Founder's calendar, scheduling meetings, appointments and travel arrangements with meticulous attention to detail
- Providing comprehensive administrative support including correspondence, report preparation, presentation development and document management
- Coordinating and organising meetings, conferences and corporate events with internal and external stakeholders
- Managing confidential information with discretion and maintaining the highest standards of professionalism
- Liaising with internal departments and external partners on behalf of the Founder to ensure seamless communication and project coordination
- Preparing briefing materials, agendas and supporting documentation for executive meetings and decision-making
- Managing expense reports, invoices and other financial administrative tasks as required
- Acting as a first point of contact for the executive office,
greeting visitors and managing telephone enquiries professionally
- Maintaining filing systems, records and databases to ensure accurate and accessible information management
- Supporting special projects and ad-hoc initiatives as directed by the Founder
What we're looking for
- Proven experience of at least 3-5 years working as an Executive Assistant, PA or in a similar high-level administrative role supporting senior executives or business leaders
- Exceptional organisational and time management skills with the ability to prioritise multiple tasks and manage competing demands
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other business software applications
- Excellent written and verbal communication skills with the ability to communicate professionally at all levels of the organisation
- Strong discretion and confidentiality with the ability to handle sensitive and confidential matters with integrity
- Meticulous attention to detail and accuracy in all administrative work
- Proactive approach with the ability to anticipate needs and work independently with minimal supervision
- Exceptional interpersonal skills and the ability to build effective working relationships with stakeholders
- Experience with travel arrangements, meeting coordination and event management
- Flexibility and adaptability in a dynamic, fast-paced environment
- Professional telephone manner and a welcoming demeanour when dealing with visitors and external contacts
