Role Description The Executive Assistant role is a remote, contract position providing high-level support to senior leaders, including founders, CEOs, and executives. Day-to-day responsibilities include managing complex calendars, scheduling meetings across time zones, coordinating travel and preparing detailed itineraries, and handling expense reporting and reconciliation. The role also involves drafting and managing correspondence, preparing presentations and meeting materials, and maintaining accurate records and documentation.
The Executive
Assistant will support decision-making by organising information, tracking follow-ups,
and ensuring priorities are managed effectively. This position requires proactive communication with internal and external stakeholders and the ability to operate with discretion and professionalism in a virtual setting.
Qualifications
- Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and stakeholder liaison.
- Experience with Administrative Assistance and office coordination, such as document preparation, record keeping, and task tracking.
- Proficiency in managing Expense Reports, including reconciliation, budgeting support, and adherence to company policies.
- Excellent Communication skills, both written and verbal, with the ability to interact confidently with senior leaders and external partners.
- High level of professionalism, discretion, and reliability when handling confidential information and executive-level matters.
- Strong organisational and time-management abilities, with attention to detail and capability to manage multiple priorities remotely.
- Comfort with remote work tools and platforms (e.g., calendar systems, collaboration software, video conferencing, and document management tools).
- Previous experience supporting C-level or senior executives in a remote or fast-paced environment is highly desirable.
- Relevant tertiary qualification or equivalent experience in business administration, management, or a related field is an advantage.
