About the role

This is a new position.

You will own the operational spine of the business: getting product from an overseas factory into our warehouse and into stock — correctly, on time, and with the paperwork right. You will work directly with the Director, our warehouse coordinator, our licensed customs broker and our overseas suppliers. It is a hands-on coordination role, not a management one.

If you like a clean register, chasing a document until it lands, and always knowing where every shipment is up to, this will suit you. If paperwork feels like an interruption to the real work, it will not.

Key responsibilities

- Coordinating inbound air freight from suppliers in Turkey, China and Europe — bookings, documents, and keeping each shipment file complete
- Acting as day-to-day contact for our licensed customs broker and maintaining the import job register
- Preparing import permit paperwork for each consignment and keeping the permit case register current
- Coordinating Australian Border Force examination dates and custody paperwork
- Chasing signed country-of-origin declarations from suppliers
- Receipting shipments into our inventory system at landed cost, and reconciling what was ordered against what arrived and what was invoiced
- Raising and administering supplier purchase orders
- Managing supplier warranty returns and spare parts — batching faulty units back overseas and chasing the credits
- Maintaining the consignment and loan-stock register, and issuing recovery letters when accounts fall behind
- Loading product and price updates to our website

About you

- Experience in import/export coordination, freight forwarding, purchasing, or inventory and warehouse administration




- Genuine care with detail — in this industry a wrong model number on a form stops a shipment at the border
- Confidence with systems. We run Unleashed, Xero, Microsoft 365 and HubSpot; training provided, but you need to enjoy learning software
- The persistence to chase overseas suppliers politely across time zones until you get what you need
- Strong written English — much of this role is clear, unambiguous email
- A current Queensland Weapons Licence, or eligibility to hold one. Queensland Weapons Licensing requires licence applicants to be an Australian citizen and to reside in Queensland
- Willingness to complete a police check. Any offer is conditional on it
- Experience dealing with customs brokers, Australian Border Force processes, or dangerous goods (nice to have)
- Firearms, outdoors or sporting goods industry experience (nice to have)
- Unleashed, or a comparable ERP or inventory management system (nice to have)

About us Australian Sporting Agencies is a licensed wholesale firearms importer and distributor based at Coolum Beach on the Sunshine Coast. We supply around 350 licensed dealers across Australia with firearms, optics, ammunition and accessories, which we import directly from manufacturers in Turkey, China and Europe. We are a small, systems-driven team — what we do not have in headcount we make up for in good process and a lot of automation.
