About the Role We're looking for a professional, friendly and highly organised Medical Receptionist to join our Russell Street Clinic in Toowoomba.
You'll be one of the first people our clients meet when they visit or contact the clinic, so your ability to make people feel welcome while keeping a busy reception running smoothly will be important.
Your day will include managing appointments and clinician diaries, answering enquiries, maintaining accurate client information, assisting with recalls and referrals, and working closely with our clinical and administrative teams.
While medical reception and administration will be the main focus of your role, from time to time you may also assist with transporting patients to appointments or services when required.
It's a role with plenty of interaction, variety and purpose — ideal for someone who enjoys working with people,
is confident in a healthcare environment and doesn't necessarily want to sit behind a desk every minute of the day.
What You'll Be Doing
Reception & Client Service
- Welcome clients and visitors and provide a professional, culturally safe experience
- Manage incoming calls, enquiries and appointment requests
- Coordinate appointments and maintain clinician schedules and diaries
- Help clients navigate services and access appropriate information
- Provide friendly and professional assistance throughout the client journey
Administration & Clinic Support
- Maintain accurate client records using Best Practice or similar systems
- Assist with recalls, reminders, referrals and follow-up activities
- Support administrative tracking using spreadsheets and reporting tools
- Assist with general clinic administration and supplies
- Maintain confidentiality, professionalism and attention to detail
Patient Support & Transport
- Occasionally assist with patient transport to appointments or services when required
- Provide a safe, respectful and culturally appropriate experience for clients during transport
- Assist clients to access services while promoting dignity and independence
Working as Part of the Team
- Work collaboratively with GPs, Nurses, Aboriginal Health Workers, Allied Health professionals and administrative colleagues
- Communicate effectively with clients, families and external service providers
- Pitch in when needed and contribute to a positive and supportive clinic environment
You'll Be a Great Fit If You...
Essential
- Have previous experience within a medical practice, specialist practice, allied health clinic, hospital outpatient service or other healthcare workplace
- Understand medical reception processes, including appointment scheduling and clinician diary management
- Have experience with medical software such as Best Practice, Medical Director, Genie, Halaxy or similar
- Are confident using spreadsheets and administrative tracking tools
- Have excellent communication and interpersonal skills
- Are organised, reliable and able to manage competing priorities
- Have strong attention to detail and data accuracy
- Understand the importance of confidentiality, professionalism and client dignity
- Are comfortable occasionally assisting with patient transport
- Hold a current Open C Class Driver Licence
- Are able to obtain a National Police Check and Blue Card
Desirable
- Certificate III or higher in Business Administration (Medical) or a similar qualification
- Experience working within an Aboriginal Community Controlled Health Organisation or community health setting
- Understanding of Aboriginal and Torres Strait Islander communities and health needs
- Experience supporting multidisciplinary healthcare teams
