Project Coordinator — Position Description

Reports to: Project Manager / Development Manager

Salary Range: $70,000 -$100,000 package commensurate with experience.

Location: Sydney, NSW (site visits across the project portfolio required)

About the RoleLindos Group is a development and project management consultancy that represents clients from landowners and developers through to institutional and private investors across the full project lifecycle. We act on our clients' behalf to plan, procure and deliver built-form projects, providing independent, client-side advice through design, approvals, procurement and construction.

We are seeking a highly organised and detail-oriented Project Coordinator to support our Project Managers and Development Managers across a portfolio of concurrent projects. This is a hands-on, client-facing role suited to someone with a construction management, engineering or architectural background who wants to build a career in project and development management. You will be closely involved in document control, plan interpretation, consultant engagement, contract administration, tender analysis and the procurement of subcontractors, trades and builders.

This role offers a genuine pathway to Project Manager / Development Manager for the right candidate, with direct mentoring and exposure to the full range of consultancy functions.

Key ResponsibilitiesDocument Management & Administration

- Establish and maintain project document control systems, ensuring drawings, specifications, contracts, correspondence and approvals are accurately filed, version-controlled and readily accessible.
- Track document revisions and distribution, ensuring the project team is always working from current information.
- Maintain project registers — including RFIs, variations, correspondence, action items, risk and issue logs.
- Prepare, format and issue project reports, meeting minutes, agendas and client correspondence.

Reading & Interpreting Plans

- Read and interpret architectural, structural, civil and services drawings,



specifications and reports to support project decision-making.
- Identify discrepancies, coordination issues or gaps between consultant documentation and flag these to the Project Manager.
- Cross-reference drawings and specifications against contract documentation, approvals and scope of works.

Consultant Engagement

- Assist in engaging architects, engineers, town planners and other specialist consultants, including preparing briefs, fee proposals and consultant agreements.
- Coordinate consultant inputs and deliverables, monitor programme adherence, and follow up outstanding items.
- Attend and help run design, consultant and project meetings, recording actions and following through to close-out.

Contract Administration

- Support the administration of head contracts and consultant agreements (e.g. AS4000, AS4902 or similar), including payment claims, variations, extensions of time and correspondence.
- Assist in preparing and issuing contract instructions, notices and directions under the guidance of the Project Manager or Superintendent.
- Maintain accurate contract registers and ensure contractual timeframes and notice periods are met.

Tender Analysis & Procurement

- Assist in preparing tender documentation, scopes of work and request-for-quote packages for consultants, subcontractors, trades and builders.
- Coordinate the tender process issuing addenda, managing tenderer queries and collating submissions.
- Undertake comparative tender analysis, benchmarking pricing, scope and qualifications, and prepare recommendation reports for client sign-off.
- Support the procurement and engagement of subcontractors and trades, and assist with builder procurement and selection processes across projects.

Project & Stakeholder Coordination

- Work across multiple concurrent projects,



prioritising competing deadlines and coordinating with Project Managers, Development Managers and clients.
- Liaise with clients, consultants, authorities, contractors and other stakeholders in a professional and timely manner.
- Support programme tracking, budget monitoring and general project administration as required.

About You
- Tertiary qualification (or working towards one) in Construction Management, Civil/Structural Engineering, Architecture or a related built-environment discipline, available 5 days a week.
- Some experience in a similar role e.g. project coordinator, contracts administrator, document controller or graduate role within a development, project management, consultancy or construction environment.
- Exceptional attention to detail, with a methodical and organised approach to documentation and administration.
- Demonstrated ability to read and interpret architectural, structural and services plans and specifications.
- Working knowledge of, or strong interest in, standard form construction contracts (AS4000, AS4902 or equivalent) and the tender/procurement process.
- Solid written and verbal communication skills, with the confidence to liaise directly with clients and consultants.
- Proven ability to manage multiple projects and competing priorities simultaneously.
- Proficient in Microsoft Office (particularly Excel and Word); experience with document management or project management platforms (e.g. Aconex, Procore, SharePoint) is advantageous.
- A proactive, can-do attitude and genuine ambition to progress toward a Project Manager / Development Manager career path.
- Current driver's licence and full working rights in Australia.
