The Senior Bookings
Officer plays a vital role in shaping a high-performing pre-admissions and fund checking function, acting as the trusted first point of support for advice, guidance, and mentoring to team members. This position is central to creating a positive and efficient workplace culture while ensuring patients receive exceptional, timely service from their very first interaction. With a proactive approach, the role works closely with the Manager Health Information Services and key stakeholders to identify, escalate, and resolve issues, maintaining seamless operations during a agile growth phase. About the new Midland Private Hospital
- A brand-new purpose-built state-of-the-art facility, located just 300 metres from the St John of God Midland Public and Private Hospitals Campus.
- A comprehensive range of medical and surgical services, with interventional cardiology being offered for the first time in the region
- The hospital will feature:
- 96 overnight inpatient beds, including a six-bed critical care/high dependency unit.
- 33-bed/chair short stay and day procedure unit
- Eight operating theatres.
- A cardiac/vascular catheter laboratory
The Role
- Complete and assist all uninsured estimates, cosmetic estimates and complex health fund enquiries.
- Monitor the workflow within the Admissions team to ensure timely and efficient completion of admissions.
- Supporting caregivers by providing advice and assistance on daily ad hoc enquiries, sharing knowledge in an open and supportive manner for the benefit and knowledge development of all members of the Admissions and Theatre Bookings team.
- Acts as a role model,
engendering a spirit of team work and collegial support, ensuring that all activities are patient and customer centered.
- Monitors and assigns departmental workload to ensure throughput meets operational and performance objectives, escalating issues of concern and backlog to the Manager as appropriate.
- Liaises regularly with Theatre Bookings area together with all other patient areas to ensure team work, consistency, as well as appropriate work distribution and throughput to meet operational requirements.
- Supports caregivers in achieving skill development and key milestones in learning, seeking support for additional training, guidelines or documented training resources to support learning needs and further understanding by caregivers.
- Preparation and delivery of training strategies in conjunction with Manager Health Information Services and Admission Services.
- Assists Manager with rosters, leave planning, UKG, recruitment and other HR matters as appropriate.
- Assist with conducting routine quality and productivity audits.
- Actively seeks or identifies ways to work better, escalates and implements ideas as appropriate with leadership team and colleagues.
- Assists with proactively managing customer concerns and investigation of issues.
- Attends meetings as relevant.
- As much as possible, undertakes patient pre admissions and fund checks and other work as applicable.
- All other reasonable duties as directed by the relevant Manager/Supervisor
The successful candidate will bring demonstrated expertise in theatre booking, fund checking, and patient estimate processes, underpinned by strong skills in mentoring and training team members to achieve high performance outcomes. They will have proven experience in exercising sound judgement to resolve issues or appropriately escalate matters, while fostering a positive team environment and leading by example.
With well-developed interpersonal and communication skills,
they will confidently engage with a diverse workforce and deliver a consistently high standard of professional customer service to patients and key stakeholders. Highly organised and adaptable, the candidate will effectively manage competing priorities, meet multiple deadlines, and embrace change with a focus on continuous quality and productivity improvement. Strong computer literacy, including proficiency across MS Office and relevant systems, will support their ability to contribute efficiently and effectively within a dynamic healthcare setting.

We can offer you
- Salary: $81,827 - $88,109 pro rata, plus 12% superannuation
- Permanent part time position, 56 hours per fortnight
