About the Team

The Clinical Learning Office supports the delivery of clinical placements across the College of Sport, Health and Engineering. The team works collaboratively with academic areas, University teams and external healthcare partners to support students undertaking clinical learning experiences.

Clinical placements support a range of disciplines including Paramedicine, Social Work, Speech Therapy, Physiotherapy, Nutritional Science and Dietetics, Dermal Science, Osteopathy, Nursing and Midwifery.

About the Role

As a Clinical Placement Administrator, you will provide efficient and effective administrative and customer support to the Clinical Learning Office and associated course areas.

You will work closely with academic staff, University teams, students and external clinical partners to support the administration and delivery of clinical placement programs. This includes assisting with student documentation and pre-placement checks, clinical agreements, invoices, databases and general administrative processes.

Position Key Duties

- Provide high-quality customer service to students and internal and external stakeholders regarding clinical placement programs, responding to enquiries by phone, email and in person.

- Liaise with relevant stakeholders to verify mandatory student documentation and pre-placement requirements.

- Provide administrative support to the Clinical Learning Office, including maintaining records, preparing routine correspondence and following up actions.

- Assist with the administration and monitoring of clinical agreements and contract documentation with agencies, hospitals and other placement providers.

- Support the processing and recording of payments to clinical educators and sessional clinical staff.





- Assist with checking invoices from clinical partners and placement providers against relevant agreements and referring anomalies for resolution.

- Assist with maintaining accurate information across relevant University databases and systems.

- Contribute to the review and improvement of administrative processes, policies and procedures supporting clinical placement operations.

- Work collaboratively with the Clinical Placements Manager, Clinical Placement Coordinators and relevant academic staff to support the delivery of clinical programs.

- Resolve routine enquiries and issues within the scope of the role and escalate unusual or complex matters where required.

Position Details

- Classification: HEP Level 4

- Salary: $72,808 - $77,259 per annum + 17% employer superannuation

- Employment Type: Full time, Fixed term until May 2027

- Hours per Week: 36.75

- Location: Footscray Park Campus

About You

We are looking for an organised and customer-focused administrator who can work effectively in a busy environment and build positive relationships with a diverse range of stakeholders.

You will ideally have:

- Relevant administrative experience and/or qualifications, with the ability to quickly develop knowledge of University systems, processes and databases.

- Experience providing high-quality customer service and working with students or in a similar service-focused environment.

- Strong written, verbal and interpersonal communication skills, with the ability to communicate effectively with people from diverse backgrounds while maintaining confidentiality.

- Strong organisational and administrative skills, including the ability to prioritise competing demands and manage workloads within time constraints.

- The ability to work both independently and collaboratively as part of a team, using initiative and sound judgement to resolve routine issues.

- Proficiency in Microsoft Word, Excel, Access and Outlook, with the ability to quickly learn new systems and processes.

Experience working within a clinical learning office or tertiary education environment,



including familiarity with student administration systems and relevant policies and procedures, will be highly regarded.
