Your New Role
As the Workplace Coordinator, you will be the operational backbone of the office, blending high-end corporate concierge service with hands-on facilities, vendor, and financial administration. Working closely with the Workplace and Community Management leadership, you will act as the key point of contact for staff, EAs, and senior stakeholders, ensuring daily workplace operations run flawlessly.
What You'll Be Doing
- Coordinate daily workplace operations, delivering premium concierge support to employees and clients while assisting with internal events.
- Build strong relationships with internal stakeholders and EAs, attending regular catch-ups to support community initiatives and workplace functionality.
- Proactively audit office spaces for maintenance needs, raising reactive work orders and ensuring facilities meet immaculate corporate standards.
- Oversee on-site contractors and vendors, assisting with procurement, vendor onboarding into financial systems, and performance inspections.
- Support financial processes including incoming invoice processing, work order tracking, budget variance explanations,
and resolving coding discrepancies.
- Drive Health & Safety compliance on-site, conducting regular safety audits, identifying operational risks, and acting as a First Aider and/or Emergency Warden.

About You
- Prior experience in Workplace Coordination, Facilities Coordination, Property Management, Corporate Concierge, or Luxury Hotel Operations.
- Strong administrative skills with experience handling invoices, work orders, and budget tracking.
- Exceptional communication and stakeholder management skills with a professional, polished corporate presence.
- Natural problem-solver who thrives in a fast-paced environment, manages competing priorities with ease, and brings knowledge of OH&S;/WHS requirements.
