About the Role
We are looking for an organized and detail-focused Accounts/Administration Officer to join our Head Office Finance team.
This is a hands-on role responsible for the day-to-day management of accounts payable and accounts receivable of multiple entities, helping ensure suppliers are paid accurately and on time, customer accounts are kept up to date, and financial records are maintained accurately, while also attending to the day to day office administration duties.
You will work closely with the Head Office Finance & Payroll Manager and other teams across the business and will play an important role in maintaining strong financial controls and cash flow management.
Key Responsibilities
Accounts Payable
• Process and code supplier invoices accurately and in a timely manner
• Match invoices to purchase orders and supporting documentation
• Prepare supplier payment runs
• Reconcile supplier statements and investigate discrepancies
• Maintain supplier records and banking details
• Respond to supplier queries
• Ensure invoices have the appropriate approvals before payment
• Assist with month-end accounts payable reconciliations and reporting
Accounts Receivable
• Raise and issue customer invoices and credit notes
• Monitor outstanding accounts and aged receivables
• Follow up overdue invoices and maintain regular communication with customers
• Resolve invoice and payment discrepancies
• Provide customer statements when required
• Maintain accurate customer account information
Finance & Administration
• Assist the Head Office Finance & Payroll Manager with month-end close activities
• Work collaboratively with internal teams to resolve invoicing, purchasing and payment queries
• Provide general support to the Finance team as required
• Day to Day administration activities such as courier bookings/ Stationery Orders/Mail Retrieval/Coles Orders
About You
To be successful in this role, you will ideally have:
• Previous experience in an Accounts Payable, Accounts Receivable or similar finance role
• Strong attention to detail and a high level of accuracy
• Experience using accounting software such as Xero, MYOB or similar
• Strong Microsoft Excel skills
• Excellent organisational and time-management skills
• Confidence communicating with suppliers, customers and internal stakeholders
• Ability to manage competing priorities and meet deadlines
• A proactive approach to identifying and resolving discrepancies
• Ability to work both independently and as part of a team
Experience working within a multi-entity, multi-currency or international business would be highly regarded.
