About Aspire
Aspire Early Education & Kindergarten is a growing provider of high quality early education and care. As our network of centres continues to expand, we are looking for a highly organised and proactive Facilities & Defects Coordinator to join our Facilities team.
This is an exciting opportunity for someone who enjoys working across multiple sites, coordinating contractors and maintenance activities, solving problems and ensuring facilities remain safe, compliant and well presented.
About the Role
Reporting to the Facilities Manager, the Facilities & Defects Coordinator will support facilities operations across Aspire Early Education centres, with a particular focus on new centre defects, fit outs, reactive and planned maintenance and facilities compliance.
You will work closely with Centre Managers, our internal maintenance team, builders, developers, landlords and external contractors to ensure facilities matters are managed efficiently from identification through to resolution.
With Aspire continuing to grow, this role offers plenty of variety and the opportunity to be involved with both newly constructed centres and our existing portfolio.
Key Responsibilities
In this role, you will:
• Coordinate and monitor defects following the handover of newly constructed centres
• Liaise with builders, developers and contractors to ensure defects are rectified within agreed timeframes
• Maintain accurate defect registers and conduct site inspections
• Assist with new centre fit outs, including coordinating furniture, fixtures, equipment, contractors and operational requirements
• Coordinate reactive and planned maintenance across multiple Aspire centres
• Monitor maintenance requests and ensure works are progressed through to completion
• Coordinate specialist contractors and external service providers
• Support preventative maintenance programs
• Assist with Essential Safety Measures compliance and statutory inspections, testing and servicing
• Maintain accurate facilities, maintenance, defects and compliance records
• Support workplace inspections, risk assessments and emergency planning requirements
• Build strong relationships with Centre Managers, Support Office teams, contractors, landlords and builders
• Assist with quotations, expenditure tracking, reporting and recommendations
• Identify outstanding facilities risks and ensure issues are appropriately escalated and actioned
About You
We are looking for someone who is highly organised, practical and comfortable managing multiple priorities across a growing multi site environment.
You will ideally bring:
• Demonstrated experience in facilities coordination or facilities management within a multi site environment
• Experience coordinating post construction defects and working with builders and contractors
• Experience supporting reactive and planned maintenance programs
• Strong contractor and stakeholder management skills
• Working knowledge of Essential Safety Measures and statutory compliance requirements
• Understanding of Workplace Health and Safety legislation and risk management principles
• Strong attention to detail and excellent follow through
• The ability to prioritise competing requests and work effectively in a fast paced environment
• A proactive and solutions focused approach
• Solid written and verbal communication skills
• Current Victorian Driver’s Licence and willingness to travel between Aspire centres as required
Experience using maintenance management systems such as Tradify or similar platforms will be highly regarded.
Qualifications in Facilities Management, Building and Construction, Property, Project Management or a related discipline are desirable.
Experience within early childhood, education, healthcare or another regulated multi site environment will also be highly regarded.
