Auburn High School offers a unique academic and extra-curricular program that caters for a culturally and linguistically diverse student population. Auburn High School is the only Victorian government secondary school offering a bilingual French education. The program has been designed to meet the requirements of both the Victorian and French governments (i.e., it meets the Victorian Curriculum requirements) and the French instruction officielles (AEFE). Selection Criteria

SC1 Demonstrated experience working with financial systems, policies, governance, reporting, and process improvements to strengthen school performance, whilst remaining compliant with DE finance policies and procedures.

SC2 Demonstrated experience in managing human resources functions within a school environment, encompassing recruitment, staff development, performance management, and compliance with relevant policies.

SC3 Demonstrated excellent written and verbal communication skills, with the ability to build positive relationships across a diverse range of stakeholders, including staff, students, families, School Council members, external service providers, and the wider school community.

SC4 Demonstrated excellent organisational and time management skills, with the ability to manage competing priorities and ensure the smooth operation of day-to-day school activities.

SC5 Demonstrated commitment to ongoing professional learning and development, both personally and in supporting the growth and capability of colleagues across the school.





Role

The Auburn High School Business Manager is a key member of the Executive Team and contributes to the strategic direction of the school, and the management of major portfolios that support the learning outcomes of students. The role involves the leadership and support of all staff members, and key stakeholders in the school community to achieve specific objectives, such as effective school administration, sound governance, high quality financial management and maximising physical and human resources.

Working within the scope of the School's strategic plan, direction on key deliverables will be provided and the Business Manager will be encouraged to show initiative in determining how they are achieved. Work will be guided by standard procedures and school policy and any deviation from this will require guidance, direction and collaboration within the Executive Team.

Management of Education Support staff across a variety of roles is a key responsibility. The Business Manager will be required to lead individuals and teams of staff to support students, learning outcomes, and the teaching staff. This includes a Human Resources Manager, Finance Manager, office staff, and a range of Education support staff that are included in all aspects of the school program.

The Business Manager is expected to provide timely reports and advice in matters relating to all aspects of their responsibilities where appropriate to discussions with Executive, School Council or in other teams.

The Business Manager is required to work 15 days during the School holidays, including five days in the lead up to the commencement of each school year. Other days are distributed as required during the term breaks

Responsibilities

Finance

- Manage and direct the preparation of annual budgets and regular financial statements and contribute to the financial decision making of the school.
- Prepare funding submissions for the Executive and School Improvement team and school council.
- Direct the accounting processes of the school and ensure that all funds, including school investments, are effectively accounted for according to Treasury regulations.
- Responsible for the provision of accurate advice to staff on spending against budget in respect to faculties, programs and other school projects.
- Administer government grants and other school income.
- Manage the governance of, and accounting of fund-raising activities
- Chair Finance Sub Committee meetings

General Administration

- Ensure the provision of a range of administrative support functions for the Principal and teaching staff
- Provide administrative support to external service providers as required
- Manage the processing of student admissions, registrations, enrolments and transfers
- Provide required level of administrative support for school events, functions and projects
- Implement induction programs for new staff, volunteers and other workers to the school, including OHS and other relevant briefings.

Human Resources

- Research, plan and prepare professional development programs for support staff
- Manage recruitment procedures
- Provide authoritative advice to the leadership team on support structures and work practices
- Assist in the development of work practices that ensure appropriate occupational health and safety standards are maintained
- Manage procedures relating to employees, like work cover and return to work plans
- Assist in the development of human resource planning

Manage School Resources

- Coordinate the use and maintenance of school buildings and equipment
- Liaise and negotiate with service providers in respect to the cost and quality of services
- Supervise the delivery of contracted services
- Manage the development and collection of resource material at the school

Support School Council

- Draft reports and make recommendations on operational issues
- Evaluate and report on the operational efficiency of computer systems in production,



making recommendations for improvement where appropriate
- Develop techniques and procedures that will affect work practices beyond the workplace.
- Manage a technical program with a broad scope across the school

Attend School Council meetings, and ensure the distribution of minutes to the Council and the School community

Other Information

This role requires additional attendance of 114 hours (15 days)

A Business Manager role will usually undertake tasks that impact on the whole school. The role seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, finance or human resources.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.

Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice in matters relating to the school finance, human resources or school administration.
