The Electoral Commission of Queensland (ECQ) is a modern and qualified statutory authority, looking for a versatile, multi-skilled and motivated Executive Assistant to provide high-quality, confidential executive and administrative support to the Executive Director, Election Event Management.
You will coordinate diaries, manage correspondence and priorities, provide secretariat support to committees and boards, including the preparation of agendas, minutes and meeting documentation.
Working collaboratively with internal and external stakeholders, you will contribute to the efficient day-to-day operation of the Election Event Management business unit, and the broader ECQ by managing records, processing financial and procurement activities, and providing advice on administrative and operational matters.
Your contribution
Consistently display the ECQ and Queensland Government values, ensuring that these are upheld at all levels of the organisation.
Maintain effective time management practices for the Executive Director, Election Management including coordinating diary appointments, meetings and conferences, venues, processing travel arrangements and monitoring important issues and following up action items.
Provide secretariat support for internal boards and committees, including the preparation of agendas and minutes for meetings.
Assist in managing high level correspondence to the Executive Director, Election Event Management and identifying urgent or contentious issues requiring immediate attention.
Manage an Outlook address, ensuring responses are prioritised and allocated according to existing protocols.
Coordinate travel requirements including flights, accommodation and car hire through the Queensland Government's CTM travel portal.
Undertake research and prepare, review and/or progress reports, briefing notes, submissions and executive correspondence in accordance with established protocols and practices.
Contribute to the administration and governance arrangements related to the conduct of electoral events, including by-elections and major elections.
Assist to prepare, review or progress briefs and executive correspondence in accordance with established protocols and practices.
Maintain records in accordance with ECQ's records managements policies and procedures.
