The Opportunity
The Client Engagement Coordinator (Appointment Setter) is a critical operational role at the front of the Indigenous Wealth client journey.
You will be the first point of contact for prospective clients, responsible for qualifying inbound and outbound leads, booking them into meetings with our Relationship Managers, and keeping our CRM pipeline accurate and well-managed.
This role requires strong communication skills, high attention to detail, and the ability to work at pace in a growing business.

What You Will Do
Lead Contact and Education
Execute outbound contact campaigns to prospect lists via phone, email, and SMS
Respond to inbound enquiries across web, phone, and social channels within agreed service levels
Deliver initial education on Indigenous Wealth services and property investment to prospective clients
Log all contact attempts and outcomes in HubSpot
Lead Qualification
Apply consistent qualification criteria to assess prospect readiness, financial position, and investment intent
Score and prioritise leads based on readiness, budget, and seriousness




Prepare clear qualification summaries for Relationship Manager handover
Maintain a pipeline of near-qualified prospects and manage re-engagement timing
Appointment Management
Book qualified prospects into Relationship Manager calendars and manage availability
Send meeting confirmations and automated reminders via HubSpot
Track show and no-show rates, and follow up with no-shows to rebook
Relay Relationship Manager feedback on lead quality to continuously improve qualification
CRM and Pipeline Operations
Maintain clean, complete, and accurate records across all prospect interactions in HubSpot
Monitor pipeline stages and flag stalled leads for re-engagement
Track lead source attribution and contribute to conversion reporting
Support workflow and automation improvements to increase operational efficiency
ABOUT YOU:
Passion for, and connection to, the Aboriginal and Torres Strait Islander community
Strong verbal and written communication skills, with confidence on the phone
High attention to detail and commitment to data accuracy
Comfortable working with CRM systems
Able to manage a busy workload, prioritise effectively, and meet service levels
A positive, professional manner and genuine desire to help people
Interest in property, finance, or professional services is an advantage but not essential
Able to work outside normal working hours if required
