Win Air & Electrical is growing, and we're looking for an exceptionalProjects Administratorto take ownership of our residential projects from initial design through to final handover.
This is not a traditional administration role.
You'll be at the centre of our projects, working directly with some of Newcastle's leading custom home builders, architects, interior designers and homeowners to ensure every project is well designed, organised and delivered to a high standard.
We currently work with10+ of Newcastle's premier custom home buildersand are building Win Air & Electrical with a clear goal:to become Newcastle's #1 electrical, air conditioning and solar contractor for premium residential projects.
We're looking for someone who wants to be a key part of that growth.
The Role
As our Projects Administrator, you will take responsibility for the coordination and administration of projects from start to finish.
You will become a key point of contact between our clients, builders, designers, suppliers, tradespeople and internal team.
A major part of the role will also be taking ownership of ourin-house electrical and lighting design process.
You'll work with architectural plans, client selections and project requirements to help develop electrical and lighting layouts, coordinate changes and ensure the final design is accurately communicated through to our site team.
You don't need to be an electrician, but you will need to become highly knowledgeable about our products, systems, designs and project delivery process.
Your Responsibilities
Your role will include:
Managing residential projects from acceptance through to completion and handover
Acting as a primary contact for builders, architects, designers and clients
Coordinating our in-house electrical and lighting design process
Reviewing architectural drawings, specifications and project documentation
Preparing and maintaining electrical and lighting plans
Coordinating client selections, lighting choices and electrical requirements
Organising client design meetings and project consultations
Managing project variations and ensuring changes are documented and communicated
Coordinating procurement of lighting, electrical equipment, air conditioning equipment and project materials
Liaising with suppliers and monitoring orders, lead times and deliveries
Scheduling project stages in coordination with builders and our field team




Monitoring upcoming construction programs and proactively planning labour and materials
Attending site and project meetings when required
Maintaining accurate project documentation, plans and records
Coordinating progress claims, invoicing and project billing
Tracking project costs and assisting with budget control
Following up outstanding selections, approvals and information required to keep projects moving
Coordinating practical completion, defects and final handover
Building strong long-term relationships with our builder and client network
Identifying opportunities to improve our project systems, client experience and overall delivery
Most importantly, you willtake ownership.
Rather than waiting to be told what needs to happen next, we want someone who understands their projects, anticipates what is coming and makes sure the right people, information and materials are ready when they are needed.
Who We're Looking For
We're looking for someone who is organised, confident and genuinely enjoys taking responsibility.
You'll be comfortable dealing directly with builders, architects, designers, suppliers and homeowners and have the communication skills to represent Win Air & Electrical professionally.
You will ideally have:
Previous experience in project administration, project coordination or construction administration
Experience within residential construction, building, electrical or a related trade industry highly regarded
Strong organisational and time-management skills
Excellent written and verbal communication
Confidence dealing directly with clients and construction professionals
Strong attention to detail
The ability to read and understand architectural plans, or a willingness to learn
Confidence coordinating multiple projects simultaneously
Strong computer and systems skills
An eye for design and an interest in lighting, interiors or premium residential construction
The ability to manage deadlines and changing construction schedules
A proactive mindset and the ability to solve problems without needing constant direction
A high level of accountability for your work and projects




Experience with electrical or lighting design would be highly regarded, but it isn't essential for the right person.
