Medical Secretary | Specialist Surgical Practice
Permanent Part time | 4 Days Per Week | 60 Hours Per Fortnight
For an experienced medical secretary who takes pride in making a busy specialist practice run exceptionally well.
We are recruiting on behalf of an established Brisbane specialist surgical practice seeking an experienced Medical Secretary to join their team on a permanent part-time basis.
This is a role for someone who understands that great medical administration is about much more than answering a phone and booking appointments.
You will be an important part of the practice — managing referrals, coordinating clinics, handling billing, arranging theatre bookings, communicating with patients and healthcare providers, and keeping the specialist's day running smoothly.
If you are organised, calm under pressure, confident with medical administration and genuinely enjoy looking after patients, this could be an excellent opportunity for you.
The role
Permanent part-time
4 days per week
60 hours per fortnight
Every Tuesday off
Established specialist surgical practice in Brisbane
Varied role with responsibility and autonomy
What you'll be doing
You'll take responsibility for a broad range of specialist medical administration, including:
Managing a busy telephone line with a warm, professional and helpful manner
Managing a high volume of incoming emails and referrals
Triage and processing of referrals
Management of the specialist's daily diary and clinic workflow
Theatre bookings and patient quotes
Medicare, DVA, WorkCover, health fund and inpatient billing
Patient enquiries and general medical administration
Liaising with hospitals, health funds, referring practitioners and other healthcare providers
Preparing and managing medical correspondence
Working with Genie, Heidi dictation and Medical-Objects
Maintaining accurate patient records and documentation
Supporting the smooth running and presentation of consulting rooms
Providing holiday and sick leave coverage when required
Working flexibly with finishing times when required to accommodate the specialist's schedule
What you'll bring
We're looking for someone who can hit the ground running and understands the demands of a busy specialist practice.
You will ideally have:
Previous experience in medical administration, preferably within a specialist practice
Experience using Genie
Strong knowledge of Medicare, DVA, WorkCover and private health fund processes
Medical billing experience, including inpatient billing
Experience with theatre bookings and patient quotes
Experience managing referrals and triaging patients
Experience managing a busy specialist diary
A sound understanding of medical terminology
Excellent written and verbal communication skills
Strong attention to detail and organisational skills
Demonstrated ability to prioritise competing demands
A pleasant and confident telephone manner
Excellent reliability and punctuality
The ability to work flexibly within the agreed working arrangements, including occasional adjustments to finishing times and leave coverage when required
Experience in a similar specialist surgical role will be highly regarded.
