Key Responsibilities and Qualifications
Welcoming patients and visitors and delivering exceptional customer service
Managing incoming phone calls, emails, and patient enquiries
Coordinating and scheduling appointments
Liaising with patients, specialists, healthcare providers, insurers, and other key stakeholders
Supporting patients throughout their treatment journey
Preparing clinic and theatre schedules
Coordinating patient documentation and surgical paperwork
Maintaining accurate patient records while ensuring privacy and compliance requirements are met
Processing patient billing and payments
Managing invoicing for private patients, DVA clients, and third-party insurers
Assisting with reconciliations and administrative reporting
Using practice management software to maintain records and support clinic operations
Supporting the use of healthcare technology and AI-driven administrative tools
Previous experience in a receptionist, administration, or medical administration role
Strong organisational skills with the ability to manage competing priorities
Excellent communication and interpersonal skills
A professional, patient-focused approach
High attention to detail and accuracy
Ability to work independently while contributing positively to a collaborative team environment
A proactive attitude with a willingness to take ownership and initiative

Experience within a specialist medical practice
Experience managing appointments, referrals, billing, and patient administration
Exposure to surgical, procedural, or pain management environments
Experience using Xestro Practice Management Software
Experience using Heidi AI or similar healthcare technology platforms
