About the Role

Reporting to the COO, you will provide administrative and operational support across multiple medical practices and internal business functions.
n

Key Responsibilities
n
Operational Support
n
Provide administrative support to practices and the operations team
n
Assist with tracking operational issues, requests and action items
n
Support practice managers and provide assistance during periods of leave
n
Coordinate follow-ups and ensure timely resolution of tasks
n
Accreditation & Compliance
n
Assist practices with accreditation requirements and documentation
n
Maintain compliance registers, training records and evidence files
n
Support policy and procedure administration
n
Prepare documentation for audits and accreditation activities
n
Administration & Coordination
n
Maintain records, trackers and operational documents
n
Prepare reports, meeting minutes and action registers
n
Support onboarding administration and internal communications
n
Manage filing, document control and data entry activities
n
Projects & Continuous Improvement
n
Provide administration support for practice incentive programs
n
Assist with operational projects and process improvements
n
Update templates, checklists and standard operating documents
n
Contribute ideas to improve systems and efficiencies
n
Office Administration
n
Coordinate office maintenance and contractor relationships
n
Manage office supplies and consumables
n
Maintain asset and equipment registers
n
Assist with scheduling maintenance and service activities
n
About You
n
To be successful in this role, you'll ideally have:
n
Strong organisational skills and attention to detail
n
Excellent written and verbal communication skills
n
A reliable, professional and proactive approach
n
Confidence using Microsoft Office and business systems
n
Ability to manage multiple tasks and deadlines
n
Willingness to learn and take direction
n
Experience in administration, reception, coordination or office support
n
Exposure to healthcare, medical practices or qualified services
n
Certificate or Diploma in Business Administration, Health Administration or a related field
n
Understanding of compliance or operational processes
n
