ABOUT THE ROLE:
n
Do you have a background in medical reception or administration, enjoy working with patients, take ownership of your work and like being the person who makes sure things get done?
n
VSON is looking for an Experienced Medical Receptionist / Patient Services Coordinator to join our practice.
n
This is a hands-on administration and patient-facing role for someone who can work confidently and independently, manage competing priorities and provide an exceptional patient experience.
n
You'll play an important role in coordinating our patients' journeys from their initial enquiry and assessment through to surgery and aftercare, while helping ensure the smooth day-to-day operation of our reception and front office.
n
You'll work closely with our surgeon, optometrists, clinical and administration teams to keep things running smoothly and ensure our patients feel welcomed, informed and well supported throughout their experience with VSON.
n
RESPONSIBILITIES:
n
Welcoming patients and helping coordinate the day-to-day flow of reception and front-office operations.
n
Answering phone calls and managing patient enquiries by phone, email, SMS and in person, providing a qualified and timely response.
n
Building genuine rapport with patients and ensuring they feel informed, comfortable and supported throughout their journey with VSON.
n
Coordinating assessments, consultations, surgery and follow-up appointments,



including associated administration and documentation.
n
Managing appointment changes, cancellations, waitlists and proactive patient follow-up.
n
Processing patient payments and maintaining accurate patient records across our practice management and CRM systems.
n
Managing CRM workflows and outstanding tasks to ensure patient communication and follow-up are completed.
n
Supporting patient flow and administration during busy consulting, surgery and laser clinic days.
n
Working closely with our surgeons, optometrists, clinical and administration teams to support smooth day-to-day clinic operations.
n
Taking ownership of administrative tasks, identifying issues and following them through to completion or escalating where required.
n
Proactively identifying opportunities to improve front-office processes, patient flow and administrative efficiency.
n
Contributing to improvements in front-office processes, patient flow and administrative efficiency while helping maintain a professional and organised reception environment.
n
Enjoys providing excellent service and creating a positive patient experience.

ABOUT YOU:
n

Ideally, you will have:
n
Strong experience in medical reception, medical administration or specialist healthcare administration.
n
Confidence working in a busy medical reception and front-office environment while managing patient enquiries and competing priorities.
n
A warm, professional and confident communication style, with the ability to build genuine rapport with patients.
n
Strong organisational skills, excellent attention to detail and the ability to follow tasks through to completion.
n




Strong computer skills and confidence learning new systems and processes.
n
Experience using practice management systems.
n
A team-focused approach — you're happy to pitch in, support your colleagues and work together to get things done.
n
An interest in solving problems and finding better ways of doing things.
n
The confidence to provide guidance and support to other administration team members when required.
n
A genuine interest in learning, developing professionally and taking on greater responsibility over time.
n
Experience within ophthalmology, surgical administration or another specialist medical environment would be highly regarded.
n
Experience with CRM platforms, Medicare, private health funds and surgical bookings would also be highly regarded.
n

HOURS & LOCATION:
n
Location: Primarily based at VSON Fortitude Valley, with work at our Mount Gravatt location required from time to time.
n
Our team works together to provide consistent coverage across our key patient and clinic times. Our laser surgery lists are held on selected evenings, with evening coverage shared across the team. This role will include occasional evening shifts when rostered, with shifts planned in advance.
n
Occasional Saturday shifts may also be required to support scheduled clinics.
n
We work collaboratively to provide flexibility across the team while ensuring our patients and clinics are well supported.
n
Remuneration: $35–$40 per hour, depending on experience.
n
