As an Administration Assistant, you will play a pivotal role in supporting the smooth operation of our programs and services. This role involves handling a variety of administrative tasks, including data entry, managing participant intake processes, and providing HR assistance. The ideal candidate will be organised, proactive, and have a passion for working in the disability sector.

Key responsibilities
n
Data Entry: Accurately input and manage data related to clients, staff, and programs.
n
First Point of Contact: Respond to and manage emails and phone calls, addressing inquiries and directing them to appropriate personnel.
n
Managing Intake: Oversee the intake process for new participants, including initial paperwork and
scheduling/rostering.
n
Intake Paperwork: Monitor and manage intake paperwork, ensuring all documentation is completed accurately and within required timelines.
n
Rostering: Assist with creating and managing staff rosters to ensure optimal coverage for programs. Approval of timesheets.
n
Correspondence Management: Handle and organise correspondence related to participants and staff.
n
HR Assistance: Support recruitment, onboarding, and compliance activities, including the employment of staff for programs.
n
Networking/Marketing:
attend networking events and support digital marketing
n
Property Maintenance:
Assist with coordinating maintenance for properties.
n
Assist with Support Work and or After Hours Oncall if requierd
n
About you
n
Experience in compliance or HR functions, with a strong understanding of employment laws and regulations.
n
Previous experience with the National Disability Insurance Agency (NDIA) is preferred but not essential.
n
Proficiency in data entry and administrative tasks.
n
Solid organisational and time-management skills.
n
Excellent communication skills, both verbal and written.
n
Ability to handle sensitive information with confidentiality and discretion.
n
Proficient in using office software and management systems.
n
Relevant qualifications or certifications in administration, HR, or disability services are advantageous.
n
Experience in a similar administrative role, particularly within the disability or health sector, is beneficial.
