About the role
n
This dual role combines Allied Health Assistant (AHA) and Administrative Support responsibilities. You'll work closely with our OTs and Clinical Director to deliver high-quality client experiences - from assisting in therapy sessions to coordinating bookings and keeping our clinic running smoothly. The role is roughly 50% clinical / 50% administrative, with flexibility depending on your skills and interests.

Key responsibilities
n
n
Allied Health Assistant Duties include:n
n
Therapy Planning, Implementation & Client Supportn
n
Plan and deliver individual or small-group interventions delegated by a supervising Allied Health Professional (AHP)
n
n
Resource Development and Maintenancen
n
Prepare and maintain therapy spaces and materials
n
Assist in creating low-risk therapy resources (visual schedules, social scripts, worksheets) under direction
n
n




Communication & Stakeholder Liaisonn
n
Support communication between clinicians, families, educators, and support coordinators
n
Complete intake calls, triage enquiries, and liaise with clients and the clinical team about bookings and waitlists
n
n
Documentation & Record-Keepingn
n
Completing, and supporting clinician's to maintain timely and accurate medical records
n
n
n
Administrative Duties include:n
n
Client-Facing Administration tasksn
n
Managing reception, phones, emails, and client communication
n
Scheduling appointments, and managing waitlists, cancellations, confirmations
n
Processing payments, Medicare claims, and NDIS line items
n
n
Administrative Systems & Documentationn
n
File management across Splose, Xero, Teams
n
Creating and maintaining medical and office reprds including uploading documents, referrals, consents, reports
n
Maintaining registers, logs, and compliance documentation
n
Drafting letters, notices, and communications
n
n
Practice management support:n
n
Oversee daily office operations, including marketing and social media updates, diary scheduling, meeting arrangements, and client arrivals
n
Financial administration
n
Reconciliation, invoice creation and tracking and expense management.
n
Compliance and Quality Requirements
n
n
Human resources supportn
n
Coordinating meetings, agendas and minutes
n
Tracking rosters, leave requests and payroll
n
n
Executive Assistant Support (to the Clinical Director)
n
n
n




About you
n
Required
n
n
Certificate III (or above) in Allied Health Assistance, or, equivalent experience (such as relevant child development studies). You must have either completed this, or be in the process of completing this, in order to qualify for this position.
n
Blue Card (Working with Children) & NDIS Worker Screening
n
Basic administrative and computer skills
n
Ability to work independently (under clinical supervision)
n
Compassionate, innovative, adaptable, and highly organised
n
A warm and professional communicator who enjoys problem-solving and teamwork
n
Tech-savvy (comfortable with Microsoft Office, Splose, Canva, etc.)
n
A genuine interest and passion for working with young people
n
Comfortable with dogs in the office (as we have therapy dogs on site)
n
n
Desirable:
n
n
Experience in allied health, education, or community services
n
Familiarity with Australian health funding systems
n
Understanding of Splose (or similar practice management software)
n
Experience in previous administration roles
n
Experience working with children/young people
n
n
