Job Description
Working for a well-established and award winning national electrical services company and reporting into the Division Manager, this Division Administrator position will involve you supporting the electrical engineering services team with a range of administrative, customer services and operational tasks that need to be carried out in a timely, effective, and productive manner to ensure work deadlines can be consistently achieved on time and on budget.

Location: Western suburbs
n
Key Responsibilities include but are not limited to
n
n
Maintain archive registers
n
Minute taking
n
Follow up debtors
n
Keep open jobs files up to date
n
Records/customer/client systems upkeep
n
Scheduling work for electricians/technicians
n
Organise induction and training
n
Assist with project/service job admin activities
n
Entering timesheets (weekly)
n
Undertake invoicing including progress claims
n
Provide support to Payroll, HSE, Finance departments as required
n
Booking accommodation for staff
n
Managing Client Portals
n
n

Manage incoming divisional emails
n
Minute taking
n
General office duties including data entry
n
Follow up debtors
n
Keep open jobs files up to date
n
Records/customer/client systems upkeep
n
Customer services / call handling
n
Scheduling work for electricians/technicians
n
Organise induction and training
n
Assist with project/service job admin activities
n
Entering timesheets (weekly)
n
Undertake invoicing including progress claims
n
Provide support to Payroll, HSE, Finance departments as required
n
Booking accommodation for staff
n
Managing Client Portals
n
n
Skills / Experience required:
n
n
Previous office-based administration experience is essential
n
Previous office-based experience gained in electrical, maintenance, construction services, HVAC, or facilities management environment will be very highly regarded
n
Cert IV Administration (or equivalent) preferred
n
Intermediate MS office, especially Word and Excel
n
Excellent time management, planning and organisation skills
n
High level communication/customer services capabilities
n
Attention to detail - do it right first time
n
Experienced in using Greentree or equivalent finance system preferred
n
Attitude is everything and you will have a fantastic work ethic and a can do' attitude
n
You will have the ability to naturally adapt to a fast-changing environment
n
n
