Our approach is grounded in evidence, yet delivered with creativity, compassion, and care.About the roleThis dual role combines Allied Health Assistant (AHA) and Administrative Support responsibilities.
You'll work closely with our OTs and Clinical Director to deliver high-quality client experiences - from assisting in therapy sessions to coordinating bookings and keeping our clinic running smoothly.
The role is roughly 50% clinical / 50% administrative, with flexibility depending on your skills and interests.Key responsibilitiesAllied Health Assistant Duties include:Therapy Planning, Implementation & Client SupportPlan and deliver individual or small-group interventions delegated by a supervising Allied Health Professional (AHP)Resource Development and MaintenancePrepare and maintain therapy spaces and materialsAssist in creating low-risk therapy resources (visual schedules,
social scripts, worksheets) under directionCommunication & Stakeholder LiaisonSupport communication between clinicians, families, educators, and support coordinatorsComplete intake calls, triage enquiries, and liaise with clients and the clinical team about bookings and waitlistsDocumentation & Record-KeepingCompleting, and supporting clinician's to maintain timely and accurate medical recordsAdministrative Duties include:Client-Facing Administration tasksManaging reception, phones, emails, and client communicationScheduling appointments, and managing waitlists, cancellations, confirmationsProcessing payments, Medicare claims, and NDIS line itemsAdministrative Systems & DocumentationFile management across Splose, Xero, TeamsCreating and maintaining medical and office reprds including uploading documents, referrals, consents, reportsMaintaining registers, logs, and compliance documentationDrafting letters, notices, and communicationsPractice management support:Oversee daily office operations, including marketing and social media updates, diary scheduling, meeting arrangements, and client arrivalsFinancial administrationReconciliation, invoice creation and tracking and expense management.Compliance and Quality RequirementsHuman resources supportCoordinating meetings, agendas and minutesTracking rosters,
leave requests and payrollExecutive Assistant Support (to the Clinical Director)About youRequiredCertificate III (or above) in Allied Health Assistance, or, equivalent experience (such as relevant child development studies).
You must have either completed this, or be in the process of completing this, in order to qualify for this position.Blue Card (Working with Children) & NDIS Worker ScreeningBasic administrative and computer skillsAbility to work independently (under clinical supervision)Compassionate, innovative, adaptable, and highly organisedA warm and professional communicator who enjoys problem-solving and teamworkTech-savvy (comfortable with Microsoft Office, Splose, Canva, etc.)A genuine interest and passion for working with young peopleComfortable with dogs in the office (as we have therapy dogs on site)Desirable:Experience in allied health, education, or community servicesFamiliarity with Australian health funding systemsUnderstanding of Splose (or similar practice management software)Experience in previous administration rolesExperience working with children/young peopleWhy Work With Us?
