Due to ongoing growth and business needs, an opportunity has arisen for an experienced Executive Assistant to provide dedicated support to an Executive Director within a collaborative and purpose-driven environment. This is an ongoing temporary opportunity where you will play a pivotal role in ensuring the smooth operation of the Executive Office, managing competing priorities with professionalism, discretion and efficiency. Current Working with Children Check (WWCC) or the ability to obtain one

Commitment to working on-site five days per week.
Willingness and ability to travel to Melbourne's Northern Suburbs daily

Your new role

- Provide high-level executive support to an Executive Director, including complex diary management, travel coordination, inbox management and meeting preparation.
- Act as a trusted gatekeeper and key point of contact, managing highly sensitive information with absolute discretion and confidentiality.
- Coordinate executive meetings, prepare agendas, presentations and supporting documentation and ensure follow-up actions are completed.
- Prepare executive reports, briefing papers, presentations and correspondence for internal and external stakeholders.
- Build strong working relationships across the organisation and contribute positively to a warm, collaborative and people-focused culture.
- Support organisational initiatives, projects, events and executive priorities as required.




- Manage meeting schedules and assist with the coordination of key leadership activities.
- Prepare professional communications, presentations and reports on behalf of the Executive Director.
- Process executive expenses, approvals and administrative tasks in a timely manner.
- Identify opportunities to improve processes and contribute to the efficient functioning of the Executive Office.
- Provide additional administrative and coordination support as required.

What you'll need to succeed

- Extensive experience supporting Executive Directors, C-suite executives or senior leadership teams.
- Demonstrated experience providing high-level executive support within complex and fast-paced environments.
- Excellent stakeholder management skills with the ability to build and maintain strong professional relationships.
- Exceptional organisational skills with the ability to manage multiple priorities, changing deadlines and competing demands.
- Strong judgement, initiative and the ability to anticipate the needs of senior leaders.
- Outstanding written and verbal communication skills, with experience preparing reports, presentations and skilled correspondence.
- Advanced proficiency across Microsoft Office 365, including Outlook, PowerPoint, Word and Excel.
- A highly professional, adaptable and resilient approach, with a demonstrated ability to handle confidential information with the utmost discretion.
- Previous experience working within a school, university, TAFE or other educational organisation will be highly regarded.
- A collaborative and personable approach, with the ability to contribute positively to a supportive team culture.
- A current Working with Children Check (WWCC) or the ability to provide one immediately.
- A genuine passion for education and a desire to contribute positively to a thriving school community.
