Become a valued long-term member of a highly regarded specialist medical practice in Nedlands in a permanent part-time Senior Medical Secretary position supporting a small team of medical specialists.

An excellent opportunity exists for an experienced Senior Medical Secretary to join a well-established and highly regarded private specialist practice.
This is a genuine senior medical secretarial position requiring someone who understands the demands of specialist practice and can confidently coordinate clinics, hospital and theatre bookings while providing a high level of administrative and patient support.
The practice values its staff and has a history of long-term team members. The successful candidate will join an established and supportive administrative team and receive comprehensive training to ensure a successful transition into the position.
ABOUT THE ROLE
This is a permanent part-time position currently offering approximately 20 hours per week across three set days:
- Monday: 9.00 am - 3.00 pm
- Wednesday: 9.00 am - 3.00 pm
- Friday: 8.00 am - 4.30 pm
There is potential for the hours to increase over the next 12 months as the practice continues to grow.
The position is predominantly based at the practice's Nedlands rooms; however, occasional availability to work from its Joondalup consulting rooms will be required. Some flexibility to provide additional annual leave and sick leave coverage is also important.
Working within an established administrative team, you will provide senior medical secretarial support to specialists across both physician and surgical medicine.
Duties will include:
- Coordinating specialist medical clinics and ensuring the smooth day-to-day management of patient appointments
- Managing hospital bookings and theatre bookings
- Providing senior secretarial and administrative support to medical specialists
- Managing patient appointments, enquiries and associated correspondence
- Liaising professionally with patients, referring practitioners, hospitals, theatre staff and other healthcare providers
- Preparing, formatting and managing specialist medical correspondence
- Managing incoming referrals, reports and clinical documentation
- Maintaining accurate electronic patient records
- Providing a high level of patient service both in person and over the telephone
- Managing telephone and email enquiries professionally and efficiently
- Working collaboratively with the broader administrative team to ensure continuity of patient care and practice operations
- Providing additional administrative support and leave coverage as required
- Maintaining strict patient and practice confidentiality at all times
ABOUT YOU
To be successful in this position, you will be an experienced medical administration professional who is confident working autonomously while also enjoying being part of a supportive team.
You will demonstrate:
- Previous senior medical secretarial experience within a specialist medical practice
- Previous experience supporting a specialist or surgeon
- Warm, outgoing, friendly, professional and respectful approach to patients and colleagues
- Experience coordinating medical clinics,
hospital bookings and theatre bookings
- Excellent organisational and time-management skills
- A high level of initiative, resourcefulness and the ability to work independently
- The ability to confidently prioritise competing demands within a busy specialist environment
- A warm, outgoing and professional approach to patients and colleagues
- Excellent written and verbal communication skills
- A qualified telephone manner and presentation
- Strong computer literacy and confidence working with clinical and administrative systems
- Meticulous attention to detail
- A strong understanding of patient confidentiality and professional discretion
- A reliable and collaborative approach, with a genuine interest in becoming a long-term member of the practice
Experience using Gentu practice software will be highly regarded.
