Introduction
Reporting to the Office Partner in Charge / Senior Administration in Perth, the Administration Assistant role is key to ensuring the smooth and professional day-to-day operation of our Perth office.
You will provide administration and reception support to Partners, Directors and staff, including document preparation, mail coordination, diary and meeting support, office supplies management, facilities coordination and general office tasks. You will also act as a welcoming first point of contact for clients, visitors and callers, helping to maintain a professional and well-organised office environment.
Working closely with our Perth team and collaborating with colleagues across Melbourne, Sydney and Brisbane, you will play a valued role in supporting our people, our clients and the effective operation of a high-performing workplace.

Scope of the role
Office & Facilities Coordination
Responsible for supporting the smooth day-to-day operation of the Perth office, ensuring a professional, organised and welcoming environment. This includes maintaining reception, meeting rooms,
kitchen areas and shared office spaces, managing stationery and kitchen supplies, coordinating maintenance requirements, liaising with service providers and supporting general office presentation.
Administrative Support
Provide high-quality and responsive administrative support to Partners, Directors and staff, including document preparation, correspondence, filing, data entry, expense claim coordination, mail management, courier bookings, register updates and support with professional services systems and processes. This also includes managing the Perth fax/Perth Insol/Reception and Events inboxes. Insolvency Administration Support
Provide practical support to our insolvency teams by assisting with the setup and administration of matters in MYOB Insol and APS. This includes supporting conflict check processes, completing relevant searches such as ASIC, Dun & Bradstreet, Land Title and NPII, preparing consent and conflict check packs, updating pipeline spreadsheets and ensuring job lists are maintained through regular checks of Court websites. Assist with setting up new jobs, updating job types, finalising matters, preparing fees and disbursement invoices, and coordinating meeting rooms and correspondence for creditor meetings held offsite.
Upload reports to the Creditor Portal from time to time, including but not limited to ASIC, ATO and other regulatory portals.
Front-of-House & Stakeholder Interaction
Act as a professional first point of contact for clients, visitors and callers.
This includes answering calls, taking accurate messages, greeting guests, advising team members of arrivals, assisting with refreshments, preparing meeting rooms and ensuring client-facing spaces are maintained to a high standard.
Team Support & Collaboration
Work collaboratively with colleagues in Perth and across interstate offices to support business operations. Assist with onboarding and offboarding tasks, internal events, staff activities, meeting coordination and ad-hoc administration. Contribute to a positive team culture by proactively assisting where needed and identifying opportunities to improve office efficiency.
Compliance & Standards
Ensure administrative processes are completed accurately and align with internal policies, confidentiality requirements and professional standards. Proactively manage tasks and deadlines to support a well-run, compliant and high-performing office environment.
Skills And Experiences
- Experience in a reception, administration, corporate services or office support role within a professional services environment.
- Experience supporting senior stakeholders and managing competing priorities.
- Highly organised, with strong attention to detail and the ability to manage multiple tasks efficiently.
- Qualified and confident communicator, with excellent verbal and written communication skills.
- Proactive and self-motivated, with the ability to take initiative and anticipate team needs.
- Strong proficiency in Microsoft Office, including Word, Excel, Outlook and PowerPoint.
- A positive, team-oriented attitude with a willingness to assist across a broad range of administrative, reception, facilities, kitchen and office duties.
- High level of discretion, punctuality and reliability, and commitment to maintaining a professional and welcoming office environment.
