Job Description
Logistics Coordinator: Events & Design Agency
n
The Logistics Coordinator is responsible for coordinating the movement, scheduling and delivery of freight, event elements, install and production requirements across Created By Clint projects.
n
During the peak Christmas installation and removal period, the Logistics Coordinator plays a critical role in managing multiple simultaneous projects including event & labor staffing, transport movements, international & local freight, installation schedules, drop offs and production deadlines.
n
Coordinate local, interstate & international transport, couriers and freight requirements.
n
Book trucks, removalists, vans, couriers and specialist transport for installations, events and removals.
n
Liaise with freight companies, drivers, suppliers, warehouses and installation teams.
n
Prepare and maintain delivery schedules, manifests and transport documentation.
n
Track deliveries and freight movements to ensure deadlines are achieved.
n
Coordinate urgent or last-minute transport requirements when project schedules change.
n
Monitor transport and freight costs against project budgets.
n
Update internal database with invoicing & budgets, financial reconciliation of all accounts
n
Scheduling & Timeline Management
n
Develop and maintain detailed logistics and delivery schedules across multiple projects.
n
Coordinate logistics timelines with production, installation and event schedules.
n
Maintain a master Christmas logistics and installation schedule during the peak season.
n
Identify scheduling conflicts, transport clashes and potential delays before they impact delivery.
n
Communicate schedule changes clearly to internal teams, suppliers, drivers and contractors.
n
Track key project milestones and ensure logistics requirements are completed within agreed deadlines.
n
Christmas Installation & Removal Program
n
During the Christmas season,
the Logistics Coordinator will assist in the overall management of Created By Clint's installation and removal program, including:
n
Coordinating transport and freight across multiple Christmas sites.
n
Managing daily and weekly installation schedules.
n
Sequencing deliveries to align with installation crews and site access times.
n
Coordinating overnight and after-hours deliveries where required.
n
Managing warehouse dispatch and returns.
n
Tracking Christmas decorations, trees, props, equipment and installation materials between warehouse and site.
n
Coordinating removals and returns following the Christmas period.
n
Responding quickly to changes in site access, installation timing, weather, freight or production.
n
Providing clear daily logistics updates to the wider project and production team.
n
Warehouse & Inventory Coordination
n
Work closely with warehouse teams to coordinate picking, packing, dispatch and returns.
n
Ensure items are labelled and allocated correctly to projects and sites.
n
Assist with tracking equipment, props and event assets.
n
Coordinate loading and unloading schedules.
n
Ensure returned stock and equipment is accounted for following events and installations.
n
Skills & Experience
n
Previous experience in logistics, events, production, warehousing or project coordination.
n
Robust organisational and scheduling skills.
n
Australian Drivers License and access to a car, essential.
n
Ability to manage multiple projects and deadlines simultaneously.
n
Confident communicating with suppliers, transport providers, contractors and internal teams.
n
Strong problem-solving skills and ability to respond calmly to changing circumstances.
n
Competent with Microsoft Office, particularly Excel and Outlook; experience with project management or scheduling software is advantageous.
n
This is a full time role, not a remote role, working from the office on and onsite locations around Australia.
n
This role commences asap, with Christmas logistics in full swing.
