About the Role
n
To provide administrative support within the Planning,Building and Development Services Team by assisting with customer requests,processing planning, building and plumbing development applications andcorrespondence, maintaining records and information databases.
n
Key Responsibilities
n
Planning, Building and Plumbing and Development Compliance
n
Receive,monitor and process over the counter, written and telephone enquiries,complaints and applications relating to the functions of the team and provide informed advice.
n
n
- Compileand record development applications and approvals in print and electronicformats, including entry of current and historical records in Council databases.
n
- Maintaina high level of confidentiality in the handling of all applications, enquiriesand complaints.
n
- Provideadministrative support to the team, including processing correspondence,reports, notices and other documentation.
n
- Preparestatutory notices and correspondence relating to the functions of the team.
n
- Arrangemeetings and inspections relating to the team's functions.
n
- Assistwith the investigation of complaints and ongoing compliance matters, includinginputting and maintaining information in Council registers and compliance files.
n
- Assistwith the implementation of audits, campaigns and programs, including media communications,scheduling inspections and reporting activities.
n
- Assistwith the upkeep, improvement and implementation of Council's informationresources, including factsheets, guidelines, website information, mediacommunications and policy development.
n
- Processapplication fees and refunds relating to relevant applications.
n
- Supportand assist the team with the completion of strategic projects.
n
n
Customer Service
n
Providehigh quality, proactive customer service for internal and external Councilcustomers via phone, email and in person.
n
n
- Entercustomer requests received via telephone, email and in person and monitor andupdate with actions taken as required.
n
- Liaisewith customers to provide updates and seek additional information whererequired.
n
- Monitorprogress reports and assist the department with responding to and "closing out'customer requests.
n
- Maintainaccurate records of customer requests within Council's Customer Request System.
n
n
Administration Functions
n
Prepareand review a wide range of documents including reports, correspondence, formsand flyers as required by the department.
n
n
- Assistin the creation and maintenance of files whether electronic and/or hardcopy toensure full audit compliance.
n
- Providecourteous and efficient administrative service to internal and externalcustomers.
n
- Researchand collate information, undertake legislative searches and compile data andstatistics.
n
- Assistwith the coordination and preparation of meetings and recording minutes.
n
- Contributeto the maintenance of Council's business systems including but not limited toAuthority and Council's record management system.
n
- Perform administrativetasks to support departmental:
n
- o Resourcing, includingDepartmental budget (requisitions and payments)
n
- Monitorand review Council Resolution correspondence and Action Status and follow up onoutstanding items as directed by department leaders.
n
- Assistwith project administration as required by department leaders.
n
