Role Description:
The Program Coordinator will be required to assist in the coordination and ongoing management and delivery of Program tasks, reporting, schedules and deliverables across the contract.
This task requires an individual with a strong consulting toolkit, including a focus on problem solving, analytical ability and communication skills. The fast paced and complex environment demands for a forward leaning, proactive and flexible outlook with the drive and strategic presence to drive through to completion.
Program Coordinators are required to proactively navigate the organisation, forge relationships, identify solutions, educate and influence and work collaboratively with all stakeholders to meet objectives.
The duties will require the Program Coordinator to work seamlessly as part of a greater team to:
- Be responsive to all requirements as requested under the Statements of Work and subsequent resource updates, pricing updates and contract management;
- Support contract extensions to maintain and expand existing client relationships
- The management and coordination of assigned staff, SMEs and small business subcontractors in a fully integrated team approach;
- Support the long-term relationship and operation of the contract, including service delivery (planning, monitoring and control, reporting);
- Engage with client stakeholders and understand their expectations and concerns;
- End to end coordination of Statements of Work;
- Facilitate recruitment, including candidate assessments, interviews, interview appraisals and client submissions;
- Liaise with recruitment partners and submit new tasks on various online portals;
- Assist with monthly reporting, including the facilitation and secretariat duties of the client performance reviews;
- Identify and work with team for continuous improvement opportunities across the Branch;
- Scope and requirements writing
Essential Requirements:
- Experience supporting operational delivery
- Workforce planning
- Facilitating bids, proposals, or contract submission
- Strong client relationship management and stakeholder engagement skills
- Excellent written and verbal communication skills, including report preparation and proposal writing
- Proficient in the MS suite of programs
- Strong organisational and time-management skills, with the ability to manage multiple opportunities simultaneously
- Results-oriented, proactive, and self-motivated
- High attention to detail, particularly in documentation, reporting, and bid processes
- Collaborative and adaptable, capable of working with internal delivery and support teams
Desirable Requirements:
- Experience in Infrastructure Delivery, Defence, or Government
- Managing contract extensions and client panel opportunities
- Understanding of governance frameworks
- Strategic thinker with strong problem-solving and decision‑making capabilities
Location: Adelaide client office
Security Clearance: Current NV1 or the ability to gain and maintain a NV1 clearance (must be an Australian Citizen)

The Opportunity:
The Senior Project Schedule Manager is responsible for undertaking and overseeing the development of project schedules and project controls. With a focus on client satisfaction, the Senior Project Schedule Manager contributes to day‑to‑day communication and interactions with clients, ensuring alignment with project goals and objectives.
Supporting the Program Manager, your responsibilities will include, forecasting and analysing financial performance metrics across multiple project areas. You will also be responsible for measuring, recording and analysing key program metrics, and preparation of the formal reporting package to the customer on a periodic basis.
In this role you will also be responsible for liaising with the Commonwealth customer, with subcontractors and with senior internal stakeholders.
You will be responsible for keeping the cadence for monthly and quarterly program reporting commitments and will assist the Program Manager by compiling data for analysis and performance review.
Key Responsibilities:
- Program performance analysis against deliverables and forecast commitments.
- Stakeholder coordination and facilitating.
- Measurement and Analysis of data and associated. Commonwealth and internal Raytheon report generation.
Responsibilities:
Scheduling
- Engage effectively with project stakeholders to enable development of accurate project schedules using provided scheduling tools.
- At the Portfolio level provide direct support to project managers by ensuring consistency in project schedule creation, management and advice.
- Assist projects with development of detailed work breakdown structures including WBS dictionaries, linking with client Finance to ensure alignment with establishment CoA protocols.
- Provide guidance to project managers/controllers on the establishment of project estimation processes, implementing processes that enable management visibility of effectiveness/accuracy.
- Establish processes to enable management visibility of project performance with respect to accuracy of resource allocation, resource demand forecasts and resource utilisation.
- Assist projects with development of project risk registers, providing coordinated reporting of risks to the Project Managers.
Project Controls
- Provide direct support to the Project Manager with all aspects of Portfolio accounting and controls, including development of procedures that enable standardization of project controls processes across portfolio projects.
- Assist with the implementation and standardisation of project controls processes within projects, providing mentoring and guidance as required.
- Establish and report on cost performance for the project.
- Support development and review of proposal cost build up and pricing submissions for proposals, including Bid Estimators.
- Assist with Proposal to Project transition / set up and implementation.
- Ensure a safe and healthy work environment
As the ideal candidate you will bring:
- Tertiary qualifications in Project Management, accounting or related disciplines
- Experience in project scheduling and project controls including EVM
- Experience planning and implementing project controls procedures
- Advanced skills in project scheduling and reporting software packages
- Experience in the use of accounting and spreadsheet packages
- 5+ years Scheduling or Project Controls (in Defence Environment)
- Exposure to Open Plan Professional
- Experience performing as a Project Manager would be an advantage
- Ability to obtain a Defence Security Clearance
