House of Harlow Beauty Therapy is looking for someone special to join our team of 7 as our Client Experience & Clinic Coordinator.

n

This is more than a front-desk role. You'll be at the heart of the clinic – welcoming clients, keeping the day flowing, supporting our therapists and helping create an exceptional experience from the moment clients walk through the door.

n

The Role

n

You'll help ensure every client feels welcomed, valued and cared for. Your responsibilities will include:

n

n
- Welcoming clients and creating a warm, elevated experience.
n
- Managing calls, enquiries, appointments, payments and rebooking.
n
- Following up new enquiries and returning clients.
n
- Managing cancellations, waitlists and diary gaps.
n
- Helping keep therapist books productive.
n
- Supporting treatment plans, memberships, retail and client journeys.
n
- Guiding clients on treatments and products suited to their needs.
n
- Keeping the clinic organised, stocked and beautifully presented.
n
- Supporting therapists with client and diary updates.
n
- Maintaining accurate records, systems and processes.
n




- Updating SOPs and helping improve the way we work.
n
- Supporting social media, DMs, content, testimonials and promotions.
n
- General administration and support for the clinic owner.
n

Who We're Looking For

n

We're not looking for someone who simply sits behind a reception desk. We want someone who takes ownership, notices what needs to be done, follows through and genuinely enjoys people.

n

You'll be confident, warm and professional, with the ability to balance exceptional client service, administration, diary management and team support.

n

You don't need to be a hard salesperson. We're looking for someone who can have genuine conversations with clients and confidently guide them towards appropriate treatments, products and ongoing care.

Your Experience

n

Experience in administration, reception, front of house, coordination or management is highly regarded, particularly within:

n

- Beauty, Skin, Wellness or Health
n
- Hospitality
n
- Retail
n

n

You'll also need to be comfortable with technology, booking systems, social media and the everyday problem-solving that comes with a busy clinic.

n
