The opportunity
Our client is a well-established Western Australian business delivering engineered equipment and industrial service solutions to clients across the resources, commercial, civil and municipal sectors. With a national footprint and a strong reputation built over decades, they combine the stability of a mature business with the pace and pragmatism of a hands-on operational team.
An opportunity has become available for an experienced Service Coordinator to join their Service function. This is a pivotal role at the centre of the service operation, keeping technicians moving, clients informed and documentation airtight.
About the role
Reporting to the Service Manager, you will own the end-to-end coordination of service, commissioning and repair activity. You will be the person who makes sure the right technician is in the right place with the right paperwork, and that every job is closed out properly.
This role will suit someone who brings an executive assistant or project support mindset to an operational setting. You will be the person who sees what is coming before it arrives, keeps the moving parts visible, chases the detail others let slip, and handles sensitive information without being asked twice.
Day to day you will:
- Coordinate and schedule service, commissioning and repair works to meet client and project timelines
- Provide quotes to clients around scheduled servicing, repairs and breakdowns
- Phone and customer support
- Mobilise personnel to site, including travel, accommodation and site documentation
- Build, maintain and optimise service schedules, allocating resources against shifting priorities
- Monitor job progress and adjust plans so delivery commitments are met
- Track and report technician labour across service, warranty, commissioning and repair work
- Create and maintain service and commissioning documentation, including reports, QA packs and site records
- Act as a key point of contact for clients on service coordination and enquiries, resolving issues or escalating where needed
- Maintain accurate records in the service management system and ensure work orders are raised, tracked and closed out
- Anticipate what the Service Manager and technicians will need before they ask, and explicit obstacles ahead of them
- Identify process improvements that reduce rework, return to site and lost time
About you
Essential
- Proven experience in service coordination, scheduling, executive assistance or project support
- An anticipatory mindset, you work a step ahead rather than waiting to be tasked
- Strong organisational and time management skills with the ability to prioritise under pressure
- High attention to detail and accuracy in documentation and reporting
- Confident communicator able to engage everyone from technicians to client representatives, and comfortable managing up
- Experience coordinating multiple workstreams and competing priorities in a fast-paced environment
- Calm, resilient and solutions focused when plans change at short notice
- Solid Microsoft Office skills, particularly Excel and Outlook
Desirable
- Prior experience in an EA, PA, project support or business support capacity
- Background in manufacturing, engineering or industrial service environments
- Exposure to service or maintenance scheduling software
- Understanding of commissioning, service or warranty processes
- Familiarity with WHS requirements in operational environments
- Experience supporting field-based or site-based teams
