Alinea is a Western Australian not-for-profit delivering disability supports under the NDIS and residential aged care. We are a registered NDIS provider and an approved aged care provider, which means our services are audited against the NDIS Practice Standards and the Aged Care Quality Standards.

The role

This is the person who keeps our compliance records, registers and audit evidence in order.

You will work under the direction of the Manager, Compliance and Quality. You will maintain the audit calendar, collate the evidence auditors ask for, keep the registers and the policy library current, and chase outstanding corrective actions until they are closed.

You will not be setting compliance strategy or making calls on whether we conform to a standard. The Manager does that. Your job is to make sure that when an auditor asks for something, we can produce it.

What you will do

• Maintain the internal and external audit calendar and prepare the paperwork for each audit.

• Collate and file evidence requested by the Manager or by external auditors, including participant records, worker screening and qualification records, and incident and complaint records.

• Complete audit checklists and templates provided by the Manager and record the results.

• Support external audits, including scheduling interviews and site visits and retrieving requested documents.

• Maintain the registers for incidents, complaints, feedback and restrictive practices, and check entries for completeness.

• Maintain the policy and procedure library, including version control and the review calendar.

• Maintain mandatory training and clearance records, including expiry tracking and renewal reminders.

• Track corrective actions, issue reminders to action owners and report outstanding items to the Manager.

• Collate audit, incident and complaint data into the monthly reporting pack.

• Run toolbox talks on quality and compliance topics using materials provided.

What you need

• Two to three years in an administration, records or compliance support role.

• Experience maintaining registers, records or documentation to an auditable standard.

• Some exposure to aged care or disability services, and an understanding of why records matter at audit.

• Strong attention to detail and accuracy.

• The ability to work to established procedures, templates and audit tools.

• The persistence to follow up outstanding items with busy people, courteously.

• Initiative within established procedures, and the habit of bringing a problem forward with a suggested fix.

• Sound skills in Microsoft Word, Excel and Outlook.

• Certificate III or IV in Business Administration, Health Administration or a related field, or equivalent experience.

Practical, not essential

• Experience supporting an NDIS or aged care audit.

• Experience using an electronic document or compliance management system.

• Certificate IV in Quality Auditing.

• Awareness of NDIS reportable incident and restrictive practice reporting requirements.

Before you start

• Current NDIS Worker Screening Check, or eligibility to obtain one before commencement.

• Current WA Driver’s Licence.

• Right to work in Australia.
