Purpose of role
Reporting to the Finance Manager, the Accounts Officer provides key support across the day-to-day financial and HR administration of QFKC. The role helps ensure accounts, payroll, purchasing and payment processes are accurate, timely, compliant and well documented.
The position contributes to internal and external reporting, supports compliance with relevant legislation and funding requirements, and helps maintain the integrity of QFKC’s financial and HR systems. It also supports staff to understand and follow financial procedures, promotes best practice, and contributes to continuous improvement across the organisation.
Key Responsibilities
- Accounts Payable and Accounts Receivable processing.
- Reconcile bank accounts and credit card transactions.
- Payroll processing including timesheets, leave applications and payment.
- Prepare weekly payment runs.
- Monitor and manage the Accounts inbox, ensuring timely action on all incoming emails.
- Maintain financial and non-financial data and key information.
- Maintain employee records, contracts and personnel files.
- Support recruitment, selection and onboarding processes.
- Assist with month and year-end closing activities, providing necessary documentation and reports.
- Assist the Finance Manager in maintaining financial and HR systems that meet standards and compliance requirements.
- Contribute to the preparation of financial reports for the Board, CEO, Managers, and external funding bodies.
- Provide training and support to QFKC staff to develop an understanding of financial management policies, procedures, and practices.
- Identify and implement continuous improvements for financial and HR management systems, policies, and procedures.
- Maintain up to date knowledge of workplace health and safety requirements and participate in, and contribute to, workplace health and safety activities to ensure a safe work environment.
- Any other duties as directed by the Finance Manager, CEO or Board.
Essential Requirements
- Minimum Cert IV in accounting and finance.
- 5 years + experience in similar role.
- Proven understanding in payroll and fair work.
- High attention to detail.
- Demonstrated proficiency with financial management systems (preferably Xero) and MS Office suite.
- Strong organisational and planning skills, with the ability to prioritise tasks, meet deadlines, and consistently maintain accuracy.
- High level interpersonal skills, with the ability to communicate, engage and negotiate confidently with staff at all levels.
- Valid paid blue card (working with children check).
- QFKC is committed to safeguarding children and young people. This is a child‑related role and appointment is subject to a national police check.
- Must work Tuesdays.
Desirable Requirements
- Experience supporting the development of financial procedures and providing guidance to staff.
- Experience in the Not-for Profit sector and grant accounting.
