Bourke and District Children’s Services is seeking an experienced and highly organised Senior Service Administrator to provide practical administrative and executive support across our early childhood services.
The purpose of this position is straightforward: take administration away from our Service Directors so they can focus on leading their services, supporting educators and delivering quality outcomes for children and families.
This is a hands-on senior administration role suited to someone who can manage day-to-day requirements, follow matters through, improve systems and bring structure to a busy service environment.
Key responsibilities
You will:
- provide executive assistant and administrative support to Service Directors;
- coordinate meetings, calendars, correspondence, action lists, reports and follow-up tasks;
- manage service-level payroll administration, including timesheets, leave information, employee changes, missing information and payroll queries;
- maintain accurate employee, family and service records;
- coordinate enrolments, attendance records, child care subsidy requirements, waitlists and family administration;
- assist with service reporting, compliance records, registers, meeting minutes and document control;
- respond professionally to enquiries from families, employees and other stakeholders;
- support Room Leaders, Educational Leaders and Service Directors with agreed administration tasks;
- identify inefficient or duplicated processes and develop simpler, more reliable ways of working; and
- document procedures and support the effective use of systems such as Xplor, Employment Hero, SharePoint, Microsoft 365 and other business platforms.
What we are looking for
You will bring:
- demonstrated experience in senior administration, executive support, payroll administration or service coordination;
- solid organisational skills and the ability to manage multiple priorities and deadlines;
- experience improving administrative systems, workflows or business processes;
- a high level of accuracy and attention to detail;
- confidence following up information and ensuring actions are completed;
- strong written and verbal communication skills;
- sound judgement, discretion and the ability to manage confidential information;
- confidence using Microsoft Office and business administration systems; and
- a practical, calm and solutions-focused approach.
Experience in early childhood education, community services, Child Care Subsidy administration, enrolments or family accounts would be highly regarded but is not essential.
Employment requirements
The successful applicant must hold or be willing to obtain:
- a current Working with Children Check;
- a satisfactory National Police Check;
- required child safety and child protection training;
- evidence of the right to work in Australia; and
- any other mandatory training required by BDCS.
