About the Role
n
Reporting to the Project Director, you will be responsible for ensuring the smooth and efficient operation of the project office while providing high-level support to the Project Director and Senior Leadership Team.
n
Acting as the central coordination point for the project team, you will manage office operations, workforce logistics, onboarding activities, facilities, events and administration functions to support the successful delivery of a major civil construction project.
n
No two days will be the same, making this an ideal opportunity for someone who thrives in a quick-paced, project-focused environment.
n
Key Responsibilities
n
n
Ensure the day-to-day smooth running of the project office.
n
Manage office facilities, supplies, equipment and building requirements.
n
Coordinate meeting rooms, workshops and leadership meetings.
n
Support the Project Director and Senior Leadership Team with administrative and coordination activities.
n
Manage project office assets, including coordinating IT equipment, fleet requirements and asset registers.
n
Coordinate employee onboarding and mobilisation activities, including inductions, workspace setup and new starter requirements.
n
Liaise with corporate teams including People & Culture, IT, Finance and HSEQ to support project operations.
n
Coordinate project events, team functions, workshops and stakeholder visits.
n
Arrange travel, accommodation and logistics for project personnel as required.
n
Assist with project administration, reporting and documentation.
n
Foster a professional, welcoming and high-performing office environment.
n
Support the transition and establishment of the Sunshine Coast project office.
n

About You
n
ou are a confident and adaptable administration professional with experience supporting large teams in construction, infrastructure, engineering or similarly fast-paced project environments.
n
You will bring:
n
n
Previous experience as an Office Manager, Executive Assistant, Senior Administrator or Project Administrator.
n
Exceptional organisational skills and the ability to manage multiple priorities.
n
Advanced Microsoft Office skills.
n
Strong communication and stakeholder engagement capabilities.
n
High attention to detail and the ability to work with discretion and confidentiality.
n
A proactive, solutions-focused approach.
n
Experience coordinating office operations, facilities, onboarding and logistics.
n
The ability to build effective working relationships across all levels of a project.
n
A commitment to maintaining BMD's values and positive team culture.
n
Flexibility to transition to the Sunshine Coast following the initial Brisbane-based project establishment period.
