Junior Facilities Administration AssistantRailway Estate, Queensland ****, AustraliaCasual Temporary Entry LevelPosted 04 Aug ****DescriptionEntry-Level Opportunity | Casual or Permanent for the Right CandidateWe are seeking a Junior Facilities Administration Assistant to join our Facilities Management team.This is an excellent opportunity for a recent high school graduate or entry-level candidate looking to gain practical experience in administration, facilities management and business operations.You will work closely with our Facilities team, contractors and compliance officer.
Supporting the day-to-day administration of maintenance and facilities activities across multiple work sites.About the RoleYour responsibilities will include:Assisting with SimPRO scheduling and work ordersCommunicating with contractors regarding scheduled works and job requirementsAssisting with the administration of maintenance requests across multiple sitesProcessing, checking and accurately distributing invoicesAmending and correcting invoices where requiredFollowing up contractors for outstanding information, documentation or completed worksUploading and maintaining contractor compliance documentation in OperandioMaintaining accurate records and ensuring information is entered correctly into all relevant systemsAssisting the Facilities team with general administration and data entryResponding to emails/callsCommunicating professionally with stores, contractors and internal team membersProviding general administrative support to the Facilities Management teamAbout YouWe are looking for someone who is:Highly organised and extremely detail-orientedConfident using computers and able to learn new softwareProficient in Microsoft Office Suite, including Outlook, Word and ExcelComfortable working with emails,
documents, spreadsheets and online systemsA explicit and professional communicator who understands appropriate workplace communication standardsReliable, punctual and willing to learnAble to follow processes and instructions accuratelyComfortable asking questions when they are unsureAble to manage multiple tasks and stay organisedProfessional and confidentSomeone who takes pride in getting the details rightPrevious facilities or administration experience is not required.
