About the role
We are seeking an experienced and detail-oriented RTO Administrator to join our team at our Thornton NSW office on a full-time basis. In this pivotal role, you will provide essential administrative and operational support to ensure the smooth functioning of our training delivery and compliance activities. As RTO Administrator, you will be instrumental in maintaining our regulatory compliance, managing critical documentation, and supporting our trainers and learners. This role is central to our operations and directly contributes to our ability to deliver quality vocational training programmes in line with Australian Skills Quality Authority (ASQA) standards.
Key responsibilities
- Manage and maintain accurate records of student enrolments, attendance, assessments and completion data in accordance with RTO compliance requirements
- Prepare and organise training schedules, venue bookings, and resources to support seamless delivery of vocational programmes
- Maintain comprehensive RTO documentation including training plans, assessment records, policies and procedures
- Coordinate with trainers and assessors to ensure timely submission of marks, feedback and assessment documentation
- Manage student enquiries and provide administrative support throughout the student journey, from initial enquiry through to course completion
- Liaise with external stakeholders including employers, government bodies and funding agencies as required
- Assist with the preparation and coordination of audits and compliance activities to meet ASQA standards
- Maintain filing systems and databases, ensuring information is organised, accessible and secure
- Support the preparation of reports and statistical data on training delivery, student outcomes and programme performance
- Contribute to continuous improvement processes and assist with the implementation of policy updates and procedural changes
What we're looking for
- Experience as an RTO Administrator or in a similar administrative support role with understanding of vocational education or training environments
- Excellent organisational skills with the ability to manage multiple priorities and meet strict deadlines
- Proficiency with computer skills, including learning management systems (LMS) and Microsoft Office applications
- Strong written and verbal communication skills with the ability to interact professionally with diverse stakeholders
- Meticulous attention to detail, particularly in relation to record-keeping and compliance documentation
- Professional discretion and the ability to handle sensitive or confidential information appropriately
- A proactive approach to problem-solving and a willingness to support colleagues across the organisation
Desirable but not essential
- Knowledge of RTO compliance requirements and familiarity with ASQA standards and VET regulatory frameworks
- Previous experience within the mining or resources sector would be highly regarded but is not essential
- Experience within an RTO environment and/or student management systems and data entry would be advantageous
