The Foundation facilitated the establishment of the Ainsworth Endometriosis Research Institute (AERI) at the University of New South Wales in 2025 — the world’s first globally collaborative institute focused on endometriosis scientific and medical research.

About the position

The Executive Assistant role is to provide comprehensive administrative, organisational, and governance support, and reports to the Managing Director of the Grevillea Foundation. The position will be exposed to sensitive information regarding people, partners, and the Foundation’s affairs. The candidate must be able to demonstrate they can deal with highly confidential information that requires discretion, sound judgement, and diplomacy.





The successful candidate must demonstrate they will be comfortable working closely with members and directors of the Foundation and, at times, managing matters that sit at the intersection of personal and organisational priorities.

Hours: 12 hours per week, with additional hours required at times. Fixed and flexible working hours are available. Employment type: Part-time, 6-month fixed contract Preferred start date: Week starting 07/09/2026 Hourly rate: $65/hour inclusive of superannuation Key responsibilities
Executive, diary and stakeholder support

- Work collaboratively with the Managing Director

- Manage the Managing Director’s schedule, calendar, and competing priorities

- Track action items, deadlines, and facilitate appropriate actions as may be required

- Manage the Foundations email correspondence, flagging priorities and drafting responses where appropriate

- Provide general support to the Managing Director as requested

Board support

- Provide secretariat support for meetings, including preparation of agendas, minutes, action logs, and other papers as required

- Compile Board papers and liaise with Board members as required, in a timely manner

- Track Board action items and follow up to ensure timely completion

- Liaise with stakeholders, as directed

Meetings and information management

- Prepare briefing materials ahead of meetings, including, where required, attendee background and relevant context

- Take meeting notes, minutes and prepare explicit summaries and action items. Note,



meetings may be in person or online and may be held in local, interstate and/or international time zones

- Consolidate reports and information from various sources into concise summaries for the Managing Director, the Board and others as may be indicated

- Monitor media, related endometriosis support networks and social media for new and relevant information and bring to the attention of the Managing Director

Organisation and systems

- Establish and maintain filing systems and shared documents

- Keep organisational records and shared drives well organised and up to date

General support

- Preform duties as may be requested from time to time

About you

In order to succeed in this role you will need to demonstrate:

- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting a senior leader

- Exceptional discretion and the ability to handle highly confidential information regarding people and sensitive material

- The art of diplomacy, demonstrating strong interpersonal and relationship-building skills

- Being highly organised, with strong attention to detail and the ability to manage competing priorities

- Confidence with yourself and with others

- The ability to take accurate minutes and produce clear, concise summaries

- Good knowledge of current and evolving technology and able to provide software technical support as required

- Ability to work flexibly across a mix of fixed and variable hours

- Experience working with a family office is valued

Other information

- Willingness to travel, as required

- The place of work will be Eden Gardens at Macquarie Park in Sydney. Offices are shared with other business units. Your will be required to work harmoniously with people in this environment
