About the Role

The State Workflow Manager - QLD is responsible for overseeing, developing, implementing, and continuously improving operational workflows across the Queensland business. The role ensures operational consistency, efficiency, accountability, and scalability throughout the customer and construction lifecycle.

Reporting into the National Workflow Manager and departmental leaders, the State Workflow Manager will identify process inefficiencies, standardise operational procedures, improve system utilisation, and drive workflow optimisation initiatives that support business growth, customer experience, operational performance, and delivery outcomes.

This role plays a critical function in ensuring the Queensland business operates efficiently while maintaining high standards of quality, communication, compliance, forecasting accuracy, and customer satisfaction.

Key Responsibilities

- Develop, document, implement, and maintain operational workflows across the Queensland business.

- Create and manage standard operating procedures, workflow maps, and process documentation.

- Identify operational inefficiencies, bottlenecks, risks, and opportunities for improvement.





- Lead workflow optimisation initiatives to improve productivity, turnaround times, operational visibility, and customer outcomes.

- Ensure workflows remain scalable and aligned with business growth objectives.

- Standardise processes across all Queensland operational teams.

- Establish workflow governance, escalation pathways, and operational controls.

- Drive accountability for workflow adherence and operational performance.

Operational Performance & Reporting

- Monitor workflow performance and operational KPIs.

- Develop and maintain reporting dashboards and workflow tracking systems.

- Analyse operational data to identify trends, performance gaps, and opportunities for improvement.

- Support operational forecasting, capacity planning, and resource allocation activities.

- Provide regular reporting and recommendations to the National Workflow Manager.

- Monitor workflow milestone performance from sales acceptance through to site start and construction delivery.

Site Start & Construction Readiness

- Oversee workflow management to ensure files progress efficiently to site start.

- Monitor operational readiness across drafting, estimating, permits, approvals, and construction handovers.

- Identify risks impacting site commencement and implement mitigation strategies.

- Collaborate with operational teams to improve forecasting accuracy and workflow visibility.

- Ensure construction teams receive complete and accurate files.

Systems & Technology Integration

- Work collaboratively with stakeholders to maximise operational system efficiency.

- Support implementation and optimisation of CRM, workflow, scheduling, and project management systems.

- Assist with system training and user adoption initiatives.

- Support the development of reporting tools that enhance workflow visibility and accountability.

Cross-Functional Leadership

- Collaborate with leaders across Sales, Drafting,



Estimating, Permits, Customer Experience, and Construction.

- Facilitate communication and coordination between departments to ensure seamless workflow transitions.

- Support teams through operational change and process improvement initiatives.

- Act as a central operational resource for workflow management and issue resolution.

- Drive alignment between operational teams and business objectives.

Continuous Improvement

- Champion a culture of continuous improvement across the Queensland business.

- Lead workflow improvement projects from concept through implementation.

- Conduct regular workflow audits and process reviews.

- Recommend innovative solutions to improve operational efficiency and customer experience.

- Benchmark operational practices against industry best practice.

Skills & Experience

Essential

- Proven experience in workflow management, operations management, or process improvement roles.

- Strong understanding of residential construction operational workflows.

- Experience within residential building, construction, property, or project-based industries.

- Strong analytical, organisational and problem-solving skills.

- Excellent communication and stakeholder management abilities.

- Experience developing standard operating procedures, workflow documentation, and operational frameworks.

- High proficiency in operational software systems and reporting tools.

- Ability to manage multiple priorities within a fast-paced operational environment.
