About the Role
As a Service Coordinator, you will be responsible for the day-to-day coordination of Field Service Technicians, ensuring the right technician, skills, tools and equipment are deployed to the right site at the right time.
You will manage reactive and planned service work, support contract administration and invoicing activities, and maintain clear, proactive communication with customers, technicians, suppliers and internal stakeholders. You will take ownership of issues, identify underlying causes and help drive continuous improvement across service delivery.

Key Responsibilities
Customer Service and Scheduling
- Plan, schedule and dispatch reactive, emergency and planned maintenance work to Field Service Technicians.
- Respond to inbound calls, emails and portal requests accurately, professionally and within agreed timeframes.
- Keep customers proactively informed of technician attendance, delays, system faults, maintenance requirements, parts availability and quotation needs.
- Manage aged work orders and backlogs, ensuring timely action and clear customer communication.
- Maintain accurate contract,
call logging and customer data within service systems and portals.
Operational Coordination
- Coordinate the daily activities, workflow and workload of Field Service Technicians.
- Maximise productive technician hours by effectively managing travel, scheduling, equipment requirements and non-productive time.
- Facilitate communication between technicians in the field and office-based teams to resolve service, customer and employee issues.
- Prepare and process customer-specific reports, including planned maintenance, compliance, condition, warranty, contract expiry and price review reporting.
- Attend technician toolbox meetings and customer site meetings as required.
- Use scorecards, Power BI and service-system reporting to monitor performance, identify opportunities and improve schedule adherence.
Administration and Financial Support
- Assist with the end-to-end management of service contracts, including setup, renewals, maintenance, monitoring, cancellations, invoicing and price management.
- Raise and follow up purchase orders, manage supplier documentation and support weekly document flow processes.
- Assist with accounts payable and receivable dispute resolution.
Teamwork and Continuous Improvement
- Build strong working relationships with technicians, customers, suppliers and internal stakeholders.
- Identify recurring issues and contribute practical solutions that improve processes, data quality and customer outcomes.
- Embrace new systems, automation tools,
processes and ways of working that support operational efficiency and service excellence.
About You
To succeed in this role, you will be a confident communicator with strong coordination, negotiation and problem-solving skills. You will be comfortable working under pressure, managing competing priorities and taking ownership of outcomes.
You Will Bring
- Experience in service coordination, scheduling, dispatch, customer service, administration or a similar fast-paced operational role.
- A robust customer-first mindset and commitment to delivering a high-quality service experience.
- Excellent communication and stakeholder-management skills, both written and verbal.
- The ability to plan, prioritise and manage multiple tasks while meeting deadlines.
- A proactive, solutions-focused approach and the confidence to resolve issues at their source.
- Strong attention to detail and a commitment to accurate data, documentation and process compliance.
- Confidence using business systems, service-management platforms, customer portals and reporting tools.
- The ability to work collaboratively with local and interstate teams.
- A self-starter attitude, resilience and a willingness to learn and adapt.
- Experience with field service systems, contract administration, invoicing, purchasing, technician scheduling or platforms such as FieldService, Pronto or Mastermind will be highly regarded.
