About the role

The Workflow Manager is responsible for planning, coordinating and monitoring the end-to-end workflow of residential construction projects, during the pre-construction phase through to Authority to Commence Construction (ACC). The role ensures projects progress efficiently, milestones are achieved on time, resources are effectively allocated and communication between departments remains transparent, proactive and outcome focused. Working closely with sales, estimating, drafting, contracts administration, scheduling and site teams, the Workflow Manager identifies bottlenecks, implements process improvements and maintains visibility across all active projects to support consistent delivery and exceptional customer outcomes.

Key responsibilities

- Manage the workflow of multiple residential construction projects simultaneously

- Monitor project progress against established schedules and milestones

- Coordinate handovers between departments to ensure seamless project progression

- Identify workflow bottlenecks and implement practical solutions

- Ensure all required documentation is complete before projects progress to the next stage

- Lead the Project Coordination team to deliver a consistent, proactive and professional client experience from contract through to handover

- Ensure clients are financially, contractually and administratively ready for construction, with all required documentation, approvals and permits completed within agreed timeframes

- Oversee the timely issue, approval and execution of client variations, ensuring signed documentation is returned and recorded

- Monitor workload across teams to optimise productivity and prioritise projects based on business objectives and client commitments





- Produce weekly workflow and project status reports and monitor key performance indicators

About you

- Experience in this role or similar within residential building industry

- Strong project coordination and organisational skills

- Understanding of customer service and finance approval processes

- Experience reading and interpreting construction documentation

- Excellent communication and stakeholder management skills

- Ability to manage multiple priorities simultaneously

- High attention to detail and strong problem-solving capability

- Proficiency in Microsoft Office and project management software

- Highly organised and proactive with calm demeanor under pressure

- Process-driven with a continuous improvement mindset, collaborative team player with strong leadership and influencing skills
