Arcina Ori is looking for a highly organised and detail-focused Operations Coordinator to join our growing team.
This is a varied, hands-on role within a small and rapid-moving fashion business.
The role will primarily support our day-to-day operations, stock and logistics, while also working closely across our Production and Wholesale teams when required.
We are looking for someone who is proactive, flexible and exceptionally organised, with precise attention to detail and the ability to manage multiple moving parts and follow things through to completion.
The Role
Coordinate day-to-day communication with our Australian, US and international 3PL and warehouse partners
Track stock across locations and assist with stock transfers and replenishment
Assist with stock reconciliations and investigate discrepancies
Book and track freight, couriers and stock movements
Source and compare freight and courier quotations
Track inbound and outbound shipments and follow up delays or delivery issues
Maintain accurate stock, freight and operational trackers
Check freight and logistics invoices and flag discrepancies
Maintain organised records across shipments, stock and warehouse communications
Support the Production team with coordination, administration and supplier follow-up when required
Support the Wholesale team with order and delivery coordination during busy periods
Follow up internal and external stakeholders to ensure actions and deadlines are completed
Assist with general operational projects and other areas of the business as required
Coordinate international shipping requirements across our key markets, including the US, Australia and other international destinations
Assist with product testing and compliance requirements, including US testing and documentation
Ensure shipments meet relevant market, retailer and fashion-specific shipping requirements, including labelling, packaging and required documentation
Coordinate commercial invoices, packing lists,



customs information and other international shipping documentation
Work with freight providers, 3PLs, suppliers and internal teams to ensure requirements are understood and completed before dispatch
Stay across changing operational and shipping requirements and proactively flag anything that may impact delivery or compliance
As a small business, the role will naturally be varied at times.
We are looking for someone who is flexible, adaptable and happy to get involved where needed.
About you
Highly organised with exceptional attention to detail
Accurate and confident working with spreadsheets, stock information and numbers
Proactive and able to identify issues before they become bigger problems
Able to manage multiple priorities and deadlines
Strong follow-through, you take ownership of tasks through to completion
Clear and professional communicator
Comfortable working independently as well as across different teams
Flexible and willing to assist across different areas of the business
Confident using Excel or Google Sheets and comfortable learning new systems
Experience with international freight, fashion logistics or product compliance would be highly regarded
An understanding of international shipping documentation, customs processes and market-specific requirements would be advantageous
Comfortable researching requirements, asking the right questions and ensuring details are correct before goods are shipped
Previous experience in operations, logistics, fashion, ecommerce, wholesale or production would be highly regarded.
Experience working with 3PLs, freight providers or inventory systems would be advantageous, but we are equally interested in finding someone with the right attitude, organisational ability and attention to detail.
