Arcina Ori is looking for a highly organised and detail-focused Operations Coordinator to join our growing team.This is a varied, hands-on role within a small and fast-moving fashion business.
The role will primarily support our day-to-day operations, stock and logistics, while also working closely across our Production and Wholesale teams when required.We are looking for someone who is proactive, flexible and exceptionally organised, with precise attention to detail and the ability to manage multiple moving parts and follow things through to completion.The RoleCoordinate day-to-day communication with our Australian, US and international 3PL and warehouse partnersTrack stock across locations and assist with stock transfers and replenishmentAssist with stock reconciliations and investigate discrepanciesBook and track freight, couriers and stock movementsSource and compare freight and courier quotationsTrack inbound and outbound shipments and follow up delays or delivery issuesMaintain accurate stock, freight and operational trackersCheck freight and logistics invoices and flag discrepanciesMaintain organised records across shipments, stock and warehouse communicationsSupport the Production team with coordination, administration and supplier follow-up when requiredSupport the Wholesale team with order and delivery coordination during busy periodsFollow up internal and external stakeholders to ensure actions and deadlines are completedAssist with general operational projects and other areas of the business as requiredCoordinate international shipping requirements across our key markets, including the US, Australia and other international destinationsAssist with product testing and compliance requirements, including US testing and documentationEnsure shipments meet relevant market, retailer and fashion-specific shipping requirements, including labelling, packaging and required documentationCoordinate commercial invoices, packing lists,



customs information and other international shipping documentationWork with freight providers, 3PLs, suppliers and internal teams to ensure requirements are understood and completed before dispatchStay across changing operational and shipping requirements and proactively flag anything that may impact delivery or complianceAs a small business, the role will naturally be varied at times.
We are looking for someone who is flexible, adaptable and happy to get involved where needed.About youHighly organised with exceptional attention to detailAccurate and confident working with spreadsheets, stock information and numbersProactive and able to identify issues before they become bigger problemsAble to manage multiple priorities and deadlinesStrong follow-through, you take ownership of tasks through to completionClear and professional communicatorComfortable working independently as well as across different teamsFlexible and willing to assist across different areas of the businessConfident using Excel or Google Sheets and comfortable learning current systemsExperience with international freight, fashion logistics or product compliance would be highly regardedAn understanding of international shipping documentation, customs processes and market-specific requirements would be advantageousComfortable researching requirements, asking the right questions and ensuring details are correct before goods are shippedPrevious experience in operations, logistics, fashion, ecommerce, wholesale or production would be highly regarded.
