Job Description:
The Executive Assistant provides high-level administrative and organisational support to senior leaders, ensuring the efficient management of day-to-day operations, communications, and business priorities. This role acts as a trusted partner to executives, managing schedules, coordinating meetings and travel, preparing business documentation, and maintaining strong stakeholder relationships while handling confidential information with discretion.
Key Responsibilities
Executive Support
- Provide comprehensive administrative support to senior executives and leadership teams.
- Manage complex and frequently changing calendars, appointments, and schedules.
- Coordinate internal and external meetings, including preparing agendas, meeting packs, and minutes.
- Screen and prioritise emails, correspondence, and requests on behalf of the executive.
- Manage confidential information with professionalism and discretion.
Communication & Stakeholder Management
- Act as a key point of contact for internal and external stakeholders.
- Build and maintain strong professional relationships across all levels of the organisation.
- Draft, edit, and proofread correspondence, reports, presentations, and business documents.
- Coordinate communications and follow up on action items arising from meetings.
Travel & Event Coordination
- Arrange domestic and international travel, accommodation, and itineraries.
- Coordinate leadership events, conferences, workshops, and team functions.
- Manage logistics and ensure seamless execution of executive commitments and events.
Administration & Business Support
- Prepare reports, presentations, and other business documentation.
- Maintain accurate records, filing systems, and documentation.
- Assist with project coordination and business initiatives as required.
- Support process improvements to enhance efficiency and productivity.
Skills & Experience
Essential
- 2-5 years' experience in an Executive Assistant, Personal Assistant, or Senior Administration role.
- Experience supporting senior leaders or executive-level stakeholders.
- Strong diary management and organisational skills.
- Excellent written and verbal communication skills.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Ability to manage multiple priorities and meet deadlines in a rapid-paced environment.
- High attention to detail and strong problem-solving abilities.
Desirable
- Experience within professional services, mining, resources, construction, government, healthcare, or corporate environments.
- Experience coordinating travel, events, and executive-level meetings.
- Exposure to project or business support activities.

Typical Perth salary range: $100,000 - $110,000 + super, depending on experience, industry, and level of executive support provided.
