Where You'll Be Working

This permanent full-time Administration Officer position is based within Zone B, East Block at John Hunter Hospital, supporting our busy Surgical Outpatients service.

Our Outpatients Administration team plays an important role in supporting the delivery of patient care and the smooth day-to-day operation of our clinics. As part of the team, you will work closely with administrative, nursing, medical and allied health staff while providing a welcoming and professional first point of contact for patients, families and carers.

This is a busy, patient-facing environment where no two days are quite the same. The team works collaboratively to manage competing priorities, and service demands while maintaining a high standard of customer service, accuracy and confidentiality.

We are looking for someone who enjoys being part of a supportive team, is comfortable working in a fast-paced healthcare environment and takes pride in contributing to a positive experience for our patients and the clinical teams we support.

About The Role

As an Administration Officer within Surgical Outpatients, you will provide high-quality administrative and customer service support to ensure our clinics run smoothly and patients receive a positive and professional experience.

Daily responsibilities will include welcoming and assisting patients and families both face-to-face and over the phone, responding to enquiries, maintaining accurate patient information and documentation, and using electronic medical record and other computer systems to support clinic activities.



You will also provide administrative support to clinical and non-clinical staff and assist with general office functions as required.

This is a busy role where priorities can change throughout the day, so you will need to be organised, adaptable and comfortable managing competing requests while maintaining a high level of accuracy and confidentiality.

The position has no direct reports and works as part of the wider Outpatients Administration team. The role reports to the relevant Outpatients Team Leader, who provides day-to-day work allocation, support, escalation and accountability.

We are looking for someone who takes responsibility for their work, knows when to ask questions or seek clarification, and treats patients, families, colleagues and other stakeholders with respect and empathy. These qualities align closely with the capabilities identified for the role, particularly communication, customer service, collaboration, planning and prioritising, accountability and resilience.

While confidence with technology and computer systems is important, specific NSW Health systems, electronic medical record processes and local Outpatients procedures can be learned and developed on the job. We would much rather find someone with the right attitude, attention to detail and willingness to learn, as the technical and service-specific knowledge can be supported through training and experience within the team.
