About the role
We are seeking a dedicated Administration Officer to join Tennant Creek Women's Refuge on a full-time basis in Tennant Creek, NT 0860. This is a crucial support role that underpins the smooth and efficient operation of our refuge.
As Administration
Officer, you will be the organisational backbone of our service, ensuring that administrative processes, communications, and systems run seamlessly so that our frontline staff can focus on delivering critical support to vulnerable women and children. This role is essential to our mission and will have a direct impact on the quality of services we provide to our clients.
Key responsibilities
- Managing general office administration, including scheduling appointments, maintaining records, and coordinating communications with clients and external stakeholders
- Providing reception and front-of-house support, answering enquiries, greeting visitors, and directing them appropriately
- Maintaining confidential client records in accordance with privacy legislation and organisational policies
- Processing financial transactions, managing invoices, reconciling accounts, and maintaining financial documentation
- Coordinating administrative scheduling, including register updating and resource allocation
- Preparing reports, correspondence, and other documentation as required by management and government bodies
- Managing office supplies inventory and placing orders as needed to ensure smooth daily operations
- Providing administrative support for events, training sessions, and community engagement activities
- Assisting with data entry and database management to maintain accurate organisational records
- Supporting compliance with statutory requirements and organisational policies, including mandatory reporting obligations
What we're looking for
- Proven experience in an administration or office management role, preferably in a community service, health, or not-for-profit organisation
- Strong organisational and time management skills with the ability to juggle multiple priorities and meet deadlines
- Excellent written and verbal communication skills with professional presentation
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) and comfort learning new software systems
- Sound knowledge of privacy legislation and confidentiality protocols, with demonstrated commitment to maintaining client confidentiality
- Ability to work compassionately and respectfully with vulnerable people, including women and children experiencing trauma
- Strong attention to detail and accuracy in record-keeping and data management
- Demonstrated ability to work both independently and as part of a supportive team
- Understanding of or willingness to learn about domestic and family violence support services
- Current working with children check or willingness to obtain one prior to commencement
- Reliability and professional demeanour in a sensitive working environment
- Preferred: Certificate III or IV in Business Administration or equivalent qualification
