Aquatic Programs Administration Officer
Location: Aqua Energy
Part Time ongoing 0.4 EFT
Band 4 $72,010 - $75,577 pro rata per annum, plus 12% statutory superannuation
This is a flexible role, with the schedule to be discussed and agreed upon with the successful candidate.
Help ensure our swim school and aquatic programs run smoothly through quality administration and customer service.
We are seeking an organised and customer-focused Aquatic Programs Administration Officer to join our team and play a key role in the effective administration and delivery of swim school, school swimming and aquatic programs across Aqua Energy and our rural pools.
As part of the Aqua Energy team, this important role supports aquatic programs that help our community learn, participate and stay active.
This permanent part-time position (0.4 EFT) would suit a highly organised and detail-oriented administrator who enjoys working with people, systems and data while contributing to positive customer experiences and strong program outcomes.
Working closely with the Aquatic Programs Team Supervisor, you'll support the day-to-day administration of programs through enrolment management, customer service, bookings, scheduling and record management. You'll help ensure programs run smoothly, information remains accurate and participants receive timely and professional support.
You'll also contribute to attendance monitoring, reporting, process improvements and initiatives that encourage participation and support the continued growth and success of aquatic programs across Wellington Shire.
In this role, you will:
• Provide administration support across swim school, school swimming and aquatic programs.
• Manage enrolments, bookings, class changes and customer enquiries in a timely and professional manner.
• Maintain accurate records and data within booking and client management systems.
- Assist with attendance monitoring, reporting and program performance tracking.
• Support marketing and promotional activities that encourage program participation.
• Work closely with the Aquatic Programs Team Supervisor to improve processes, procedures and service delivery outcomes.
• Build positive relationships with participants, families,
schools and colleagues.
• Assist with operational aquatic program duties, including swim teaching, as required.
About You
• Demonstrated administration experience with robust attention to detail and a commitment to accuracy.
• Experience using databases, booking systems or client management systems to manage information and records.
• Strong organisational skills and the ability to manage competing priorities in a busy environment.
• Well-developed customer service and communication skills, with the ability to respond to enquiries and resolve issues effectively.
• A collaborative approach and ability to work positively within a team environment.
• A proactive mindset with a focus on continuous improvement and delivering quality outcomes.
