Clinic Receptionist / Operations Specialist (Hands-On) – Part Time

Must be currently undergoing or have completed a certificate in Beauty Therapy or a Certificate III

Empowering Beauty is a results-driven beauty clinic specialising in face, body and skin treatments. We’re known for being warm, skilled and fast-paced — and we’re looking for a hands-on Clinic Receptionist / Operations Specialist who loves staying busy and keeping a clinic running smoothly.

This is not a “sit at the desk” reception role.

You will be on your feet most of the shift — flipping rooms, supporting therapists, managing the booking system, taking calls, and helping the day run on time.

This is a part-time role with longer shifts, including late nights and Saturdays. You must be available open to close on your rostered days.

What you’ll be doing (day to day)

Clinic Operations (the core of the role)

- Run the booking system: confirmations, reschedules, waitlists, diary optimisation
- Coordinate smooth flow between therapists, clients and rooms
- Prepare, flip and reset treatment rooms between appointments (quick + high standards)
- Keep the clinic looking immaculate (front of house + shared spaces)
- End-of-day procedures: closing, securing and setting the clinic up for the next day

Client & Reception Support
- Warmly greet, check-in and support clients throughout their visit
- Answer calls, respond to enquiries and assist with bookings + questions
- Maintain client notes and records accurately
- Follow up clients as required (aftercare check-ins, confirmations, reminders)





Treatments & Hands-On Support You will be required to perform and/or assist with selected services including:
- Brow & Lash lifts
- Spray tans
- Teeth Whitening
- LED
- EMS & Fat Cav (machine set-up and client support)
- Lymphatic Massages

All treatment training will be fully provided to the right person. No prior treatment experience is required — just the right attitude and willingness to learn. Sales & Product Support

- Confidently recommend and sell skincare/products (product training provided)
- Support in-clinic promotions and offers

About you
- Naturally organised, proactive and able to work independently
- Confident on the phone and comfortable managing a busy booking system
- Enjoys a fast-paced, hands-on role and being on your feet
- Strong admin skills with great attention to detail

Requirements

- Admin experience (essential)
- Availability for late nights (up to 8pm) and Saturdays
- Ability to travel between Ringwood & Alphington
- Driver’s licence preferred
- Australian work rights preferred

Beauty or clinic experience is preferred but not essential — training and support will be provided.
