Business Support Officer

We are seeking a highly organised and proactive Business Support Officer to join our team. This role is responsible for ensuring the smooth day-to-day operation of the office while providing high-quality administrative support across the business.

As the first point of contact for visitors and internal stakeholders, you will play a key role in maintaining a professional, efficient, and well-organised office environment. The role also provides functional administrative support across departments and project support as required.

Position Objective The Business Support Officer ensures the effective and efficient operation of the office through administrative coordination, front desk management, and business support activities. The role supports multiple teams across the organisation and contributes to maintaining a qualified workplace environment while assisting with operational and project-related tasks.

Key Responsibilities

General Office Support & Front Desk

- Act as the first point of contact for visitors and incoming enquiries,



ensuring a professional and welcoming office environment.
- Answer, screen, and direct phone calls efficiently.
- Maintain visitor logs and ensure compliance with security and safety procedures.

Corporate Support & Administration

- Coordinate appointments and manage meeting room calendars to ensure efficient use of office spaces.
- Manage incoming and outgoing mail and courier services.
- Maintain office grocery and kitchen supplies based on business needs.
- Manage office stationery supplies and maintain appropriate stock levels.
- Coordinate uniform distribution for new employees and replacements for existing staff.
- Organise office events and catering including monthly meetings, staff lunches, town halls meetings, and end-of-year celebrations.
- Coordinate cleaning services with the contracted cleaning provider to maintain a clean and organised workplace.

Finance & Operational Support

- Assist with allocation of travel expenses to relevant business units.
- Administer corporate credit card expense processes in line with company policies.
- Provide support to the Accounts Payable team, including invoice processing and vendor communication.
- Support Purchase Requisition updates in collaboration with Accounts Payable and Procurement.
- Assist with payroll timesheet administration to ensure accurate records.
- Support Operations teams with roster updates.
- Assist with communications and marketing database and directory management.




- Perform additional administrative tasks as required.

About You Education & Experience

- Certificate or Diploma in Business Administration, Office Management, or a related discipline (preferred).
- Minimum 3+ years’ experience in an office administration or business support role.
- Experience with expense management systems (e.g., Concur) and Accounts Payable processes is desirable.
- Experience coordinating office events is advantageous.
