About the role

You'll be at the heart of the client journey and day-to-day clinic flow as the Client Experience & Clinic Coordinator at Bespoke Glow, a skin, beauty and wellness clinic. You'll be the welcoming face of Bespoke Glow and a key part of making sure every person who walks through the doors feels genuinely seen, cared for and looked after. From their first enquiry through to their treatment, rebooking and follow-up, you'll help make the entire Bespoke Glow experience feel seamless.

Key responsibilities

- Welcoming clients and creating a warm, elevated experience from the moment they arrive
- Answering phone calls, messages and new client enquiries with warmth and confidence
- Managing appointments and keeping the clinic diary beautifully organised
- Checking clients in and out and processing payments
- Rebooking clients and supporting their ongoing treatment journeys
- Following up new enquiries, existing clients and treatment plans
- Managing cancellations and waitlists
- Proactively identifying diary gaps and opportunities
- Supporting therapists and helping the clinic run smoothly throughout the day
- Maintaining beautiful presentation standards across the clinic
- Marketing, content and community support - You'll also play a supporting role in bringing marketing and client communication to life along side our amazing content creator. This may include supporting the marketing and content calendar, helping coordinate promotions, events and launches, assisting with planning for content creation days, happy to have your face & skill captured online, capturing organic day-to-day moments within the clinic, coordinating before-and-after images and client testimonials with consent, helping organise treatment results and client stories for content, responding to social media enquiries and helping turn enquiries into bookings,



and helping ensure approved promotions and communications are implemented consistently.

- Highly organised with exceptional attention to detail
- Proactive and able to think a few steps ahead
- Confident managing a busy appointment diary
- Comfortable following up clients and new enquiries
- Someone who takes ownership and follows things through
- Confident using technology and learning current systems

Previous experience in reception, customer service, clinic coordination, administration, beauty, skin, health, wellness, hospitality or a premium client-facing environment would be highly regarded. Beauty industry experience is not essential for the right person.
